This role is critical in shaping the family's initial experience by ensuring that all necessary information is gathered promptly and accurately, while guiding them smoothly through the benefits verification and authorization process. The ideal candidate is empathetic, detail-oriented, bilingual (Spanish strongly preferred), and thrives in a high-volume, fast-paced environment. Key Responsibilities 1. Outreach & Screening • Promptly contact prospective families following online sign-ups or inquiries. • Conduct intake screenings to gather missing information and confirm eligibility. • Provide compassionate support to families, establishing trust from the very first interaction. 2. Lead Management & Documentation • Accurately record and manage intake data in Salesforce. • Convert qualified leads into opportunities and seamlessly transition them to the benefits verification and authorization team. • Disqualify or close leads when appropriate (e.g., no qualifying diagnosis, unresponsive families). 3. Conversion & Follow-Up • Proactively re-engage families who have paused or gone inactive to maximize conversions. • Provide intake coverage during evenings and weekends as needed to capture leads in real time. 4. Collaboration & Quality • Partner with Intake Managers to follow established SOPs, scripts, and quality assurance standards. • Collaborate with cross-functional teams (clinical, revenue cycle management, operations) to ensure a smooth handoff and transition into care. • Participate in ongoing training, feedback, and process improvement initiatives to enhance the patient and family experience. Qualifications • Bachelors degree or equivalent work experience preferred. • 2+ years of experience in patient intake, customer service, or healthcare operations. • Bilingual (English/Spanish) strongly preferred. • Familiarity with Salesforce or other CRM systems. • Experience with ABA (Autism) therapy or healthcare intake strongly preferred. • Strong phone presence with excellent verbal and written communication skills. • Demonstrated ability to provide empathetic, patient-centered support. • Highly detail-oriented with exceptional organizational and multitasking abilities. • Flexible availability, including evenings and weekends as needed.
