POSITION DUTIES AND RESPONSIBILITIES

Responsible for operating switchboard and answering multiple telephone lines

Pleasantly, meet, greet and instruct all visitors, and control daily traffic in the reception area

Responsible for front desk voicemail

Assist in distributing faxes and sorting mail

Responsible for preparing and processing applications for hiring

Maintain and update client/ application spreadsheet tracking

Enter client / employee profile and compliance information into the data system

Create new employee charts and file new documents in records as needed

Create employee profiles as requested by P.D

File HR forms and check for accuracy of completion including personnel documents

Process client charts when requested

Assist in the preparation meetings and taking minutes

Ensure new employee charts are in compliance before DHS audits

Random audits of employee/ clients’ charts,

Assist supervisors with records requests (ex. certificate, subpoenas, copies of medicals...)

Work in collaboration with all departments at BHRAGS ALLIANCE

Ensure that the reception area is neat, organized and a comfortable working/visiting space

Ensure that the visitors log is in order

Create clients sign in and out forms and make it available for operations staff

Maintain the blank forms binder updated

Prepare all needed reports as requested by P.D

Represent the P.D in meetings and events when requested

Participate in family activities and events

Provide short term coverage for operations when needed.

Assign trainings as assigned by P.D

Maintain up to date fiscal compliance with client’s resource distribution

Tag and record all new equipment received

All other duties assigned by the Program Administrator

Education and Experience

High School diploma/GED.

Knowledge of Microsoft Office Suite.

Bi- Lingual Spanish preferred.

Familiarity with the underserved population, including but not limited to, homelessness, substance use, mental health, and LGBTQ populations.
