We are seeking an energetic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. Duties
Greet visitors, clients, and staff warmly while managing front desk responsibilities with professionalism and courtesy
Operate multi-line phone systems, answer inquiries, direct calls efficiently, and maintain phone etiquette at all times
Manage calendar scheduling, appointment setting, and coordinate meetings for team members using tools like Google Workspace and Microsoft Office
Handle data entry tasks accurately, including filing, record keeping, and updating databases such as QuickBooks or other office management software
Support bookkeeping activities by assisting with invoicing, expense tracking, and basic financial record maintenance
Maintain office supplies inventory, place orders as needed, and ensure the office environment remains organized and welcoming
Provide clerical support including proofreading documents, preparing correspondence, and managing mail distribution
Assist with personal assistant duties such as calendar management for executives or staff members when required
Ensure excellent customer service by addressing inquiries promptly via phone or email and supporting client needs effectively
Uphold high standards of office management by implementing efficient procedures that enhance productivity and workflow
Experience
Proven experience in office management or administrative roles within a professional environment
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools (Gmail, Calendar), and QuickBooks accounting software
Demonstrated ability to handle multi-line phone systems with professionalism and excellent phone etiquette
Previous clerical experience including data entry, filing systems, proofreading documents, and managing correspondence
Experience in customer service or customer support roles that require effective communication skills in bilingual settings preferred
Knowledge of medical or dental receptionist duties or personal assistant experience is advantageous but not required
Exceptional organizational skills with the ability to prioritize tasks efficiently while managing time effectively
