We are seeking a dynamic and organized Office Staff member to join our team! In this vital role, you will serve as the backbone of our daily operations, ensuring smooth office functions and exceptional customer service. Duties
Greet visitors and manage front desk responsibilities with professionalism and warmth
Answer multi-line phone systems promptly, directing calls efficiently and courteously
Manage calendar appointments.
Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office software
Handle clerical tasks such as proofreading documents, managing correspondence, and processing invoices with accuracy
Support bookkeeping activities using QuickBooks or similar accounting software
Assist with office management duties including supply inventory, equipment maintenance, and general administrative support
Provide excellent customer service by addressing inquiries via phone or email with patience and clarity
Maintain office cleanliness and organization to foster a productive work environment
Submit permits for town approval
Qualifications
Proven experience in office administration or clerical roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Excellent computer literacy including data entry, typing speed, and familiarity with office management tools
Prior experience with QuickBooks or bookkeeping is highly desirable
Strong phone etiquette skills with experience managing multi-line phone systems
Exceptional organizational skills with keen attention to detail for proofreading and filing tasks
Ability to multitask efficiently while managing time effectively in a fast-paced environment
Previous experience in customer service
