Part-Time Executive & Operations Assistant

Job Overview

We are seeking a highly organized, proactive, tech-savvy Part-Time Executive & Operations Assistant to support multiple growing businesses and community initiatives.

This is not a simple receptionist or basic admin role. We are looking for someone who can think independently, learn quickly, manage multiple moving parts, and assist with business operations with minimal supervision.

The ideal candidate is extremely comfortable with computers, technology platforms, online systems, document creation, scheduling, applications, follow-up calls, and helping organize new business programs and projects.

You will assist across healthcare, community outreach, transitional housing, staffing, and business development operations.

This position is ideal for someone who enjoys structure, solving problems, helping businesses grow, and being part of meaningful work in the community.

Responsibilities

Administrative Support
  • Create and organize business documents
  • Prepare forms, packets, spreadsheets, and reports
  • Assist with onboarding paperwork and applications
  • Manage emails and follow-up communications
  • Schedule appointments, interviews, and meetings
  • Assist with calendar management
Operations Support
  • Help organize and implement new business programs
  • Assist with tracking referrals and client information
  • Help maintain digital systems and workflows
  • Assist with recruiting and staffing processes
  • Pull reports and maintain organized records
  • Assist leadership with day-to-day operations
Communication & Follow-Up
  • Call applicants, staff, clients, and vendors
  • Follow up on missing paperwork and documentation
  • Communicate professionally by phone, email, and text
  • Assist with customer service and problem resolution
Technology & Systems
  • Work within multiple online systems and platforms
  • Upload and organize digital files
  • Use Google Workspace, spreadsheets, CRMs, and scheduling systems
  • Quickly learn new software with little training
