The PA is essential for maintaining the executive's professional and personal efficiency, acting as a crucial gatekeeper, strategic organizer, and partner. We require an exceptionally <strong>proactive, discreet, and highly organized</strong> individual capable of anticipating needs and managing a dynamic, fast-paced international schedule with flawless execution.<br><br><strong>Key Responsibilities</strong><br><br><strong>Administrative </strong><ul><li>Manage a complex and dynamic calendar, scheduling all business and personal appointments, meetings, and travel, ensuring all materials are prepared in advance.</li><li>Act as the primary point of contact, screening and prioritizing all incoming communications (emails, phone calls, correspondence) and responding professionally on the Executive's behalf when appropriate.</li><li>Prepare, edit, and proofread professional correspondence, reports, presentations, and internal communications.</li><li>Maintain highly organized digital and physical filing systems, ensuring all sensitive information is handled with absolute confidentiality.</li></ul><br><strong>Personal Support & Errands</strong><ul><li>Handle various personal matters, errands, and private appointments with discretion and efficiency.</li><li>Coordinate special projects and events (both corporate and private) from initial planning through execution.</li><li>Serve as the primary communication liaison, coordinating activities and managing relationships with a broad range of private and professional service partners.</li></ul><br><strong>Qualifications</strong><ul><li><strong>Mandatory:</strong> 2 to 3+ years of experience as a Personal Assistant, Executive Assistant, or equivalent role supporting a senior-level executive in a demanding environment.</li><li><strong>Essential:</strong> Must be legally eligible to work and <strong>based in Malaysia</strong>, with excellent knowledge of local services and logistics.</li><li><strong>Language Proficiency:</strong> Excellent command of written and spoken <strong>English and Mandarin</strong> is required.</li><li><strong>Technical Skills:</strong> High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with calendar and travel management software. <strong>Bookkeeping experience</strong> or familiarity with basic financial record-keeping is a plus.</li><li><strong>Key Attributes:</strong><ul><li><strong>Discretion & Confidentiality:</strong> Absolute reliability in handling sensitive professional and personal information.</li><li><strong>Proactive:</strong> Ability to anticipate needs, foresee potential issues, and implement solutions.</li><li><strong>Organizational Mastery:</strong> Exceptional time management, organizational, and multitasking skills with keen attention to detail.</li><li><strong>Adaptability:</strong> Proven ability to remain calm and effective under pressure and during last-minute changes.</li></ul></li></ul><br><strong>What We Offer</strong><ul><li>Competitive compensation package</li><li>Full remote flexibility</li><li>Opportunity to work with international brands and markets</li><li>Collaborative and innovative environment</li></ul><br><strong>How to Apply:</strong><br>Please submit your detailed CV and a cover letter outlining your relevant experience, focusing on your ability to manage complex schedules and maintain confidentiality.
