Job Description
This role is structured for approximately 30–40 hours per week depending on clinical coverage needs, with administrative responsibilities prioritized at ~30 hours weekly and direct therapy fluctuating based on client and staffing demands. Monitor and respond to candidates across hiring platforms, including , , , , , and Post and refresh job listings weekly Schedule interviews and maintain timely communication with candidates Conduct initial phone screenings to assess qualifications and overall fit Generate creative recruiting strategies and build candidate pipelines Maintain and update the onboarding tracker and candidate database Ensure all new hire paperwork is completed prior to the start date Send offer letters, welcome emails, and background checks Conduct reference checks for final candidates Organize employee documents within company systems Conduct new hire orientation and provide a supportive onboarding experience Scheduling amp; Productivity Coordinate schedules to maximize clinical hours and maintain operational efficiency. Develop long-term client and staff schedules Match therapists to clients based on availability and clinical fit Coordinate time-off requests, coverage, and make-up sessions Communicate directly with staff and families regarding scheduling updates Assist therapists with session confirmations and documentation reminders Track authorization hours in collaboration with Operations Prepare monthly productivity reports for staff and clients Provide utilization data for supervision and indirect hours upon request HR amp; Compliance Support Help maintain a compliant, organized, and well-supported workplace. Monitor staff certifications and expiration dates Approve sick time requests Track compliance deadlines and regulatory updates Support credentialing and insurance enrollment Develop and refine standard operating procedures (SOPs) Reinforce company policies and best practices Coordinate one-on-one meetings to address workplace concerns Systems amp; Administrative Operations Ensure accurate setup and maintenance of internal systems. Add and manage clients and staff in Using the Complete credentialing and onboarding tasks according to SOPs Manage assigned to-dos and independently drive projects to completion Clinic Operations amp; Client Experience Create a welcoming, organized, and well-maintained clinic environment. Greet clients and families as they arrive and assist with check-in Maintain a professional and welcoming front office presence Disinfect toys, therapy materials, and shared clinic spaces Take out trash and help keep the clinic clean, safe, and organized Develop and maintain toy and materials check-out systems Monitor inventory and assist with ordering clinic supplies as needed Support day-to-day operational needs to ensure the clinic runs smoothly Clinical Support Provide direct assistance to maintain continuity of care. Carry a small direct therapy caseload or provide session coverage as needed Support therapists and clinical leaders with operational needs Growth amp; Community Outreach Help expand our impact and strengthen community partnerships. Assist with credentialing new insurance funders Build relationships with pediatricians, physicians, colleges, and universities Represent the company at job fairs and networking events Develop referral pipelines and recruitment partnerships Team Culture amp; Engagement Bring energy and connection to our growing team.
