About UNUM Collaborative UNUM Collaborative is a Denver-based architecture and design studio composed of designers, architects, makers, and innovators who believe exceptional work is rooted in collaboration.Our projects span residential and commercial architecture, interiors, and interdisciplinary explorations that merge art, industrial design, and craft.We challenge conventional architectural norms with thoughtful rigor, creating spaces that engage users socially, intellectually, and physically while remaining highly functional and visually compelling.Position Overview UNUM Collaborative is seeking a highly organized, proactive Administrative Assistant to support the daily operations of our studio.This role is central to maintaining an efficient, professional, and design-forward practice.The ideal candidate is detail-oriented, adaptable, and comfortable supporting leadership within the Architecture, Engineering, and Construction (AEC) industry.This position blends office management, project administration, financial coordination, and light marketing support.You will work closely with firm leadership and contribute meaningfully to both internal operations and outward-facing communications.Key Responsibilities Office & Studio Operations Support day-to-day studio operations to ensure a well-functioning work environment Serve as a professional point of contact for clients, consultants, and vendors Manage calendars, meetings, and scheduling for principals and staff Coordinate internal meetings, lunch-and-learns, agendas, and meeting minutes Oversee mail, deliveries, and office supply procurement Maintain organized digital and physical filing systems Assist with troubleshooting office hardware and coordinating IT support Support procurement of office furniture, equipment, and studio resources Project & Practice Administration Assist with project setup in time-tracking and invoicing systems Maintain accurate project records, schedules, and milestone tracking Support preparation of proposals, contracts, presentations, and permit submittals Coordinate project meetings and documentation Help monitor deadlines and project deliverables Financial & Billing Support Assist with time tracking, invoicing, and billing coordination Review staff timesheets for accuracy Support fee setup and budget tracking Generate project and financial reports as needed Monitor accounts receivable and assist with invoice follow-ups Process consultant invoices and reimbursable expenses Coordinate with external accounting teams on bookkeeping tasks Marketing & Communications Support (Light) Maintain and update website content as needed Coordinate and schedule social media posts (primarily Instagram and LinkedIn) Organize project photography, captions, and content archives Assist with drafting project descriptions and marketing materials Support award submissions, press inquiries, and firm updates Maintain marketing templates, resumes, and project sheets Visit project sites to document construction progress for marketing use Note:This role does not require leading marketing strategy but benefits from strong writing skills and a design sensibility.Team Support Assist with onboarding new team members Help coordinate studio meetings and occasional events Required Qualifications 2years of experience in office administration, operations, or studio support Strong organizational and time-management skills Excellent written and verbal communication abilities High level of professionalism, discretion, and attention to detail Ability to manage multiple priorities independently Proficiency in Microsoft Word and Excel Working knowledge of Adobe Creative Suite Preferred Qualifications Experience in an architecture, design, engineering, or construction firm Familiarity with architectural project phases and terminology Experience with Microsoft Office or Google Workspace Proficiency in Adobe Acrobat (PDF creation and markups) Experience using Adobe InDesign for proposals and presentations Familiarity with social media platforms (Instagram, LinkedIn, Facebook) Experience with accounting or project management software such as QuickBooks or Monograph Schedule & Work Environment Full-time or part-time opportunity In-office presence required, with potential flexibility over time What We Offer A collaborative, design-driven studio culture Direct exposure to firm leadership and practice management Insight into both architectural operations and marketing efforts Competitive compensation commensurate with experience Paid holidays and PTO How to Apply Please submit a resume and brief cover letter outlining your experience and interest in working within an architectural studio to info@unum-collab.com.We look forward to hearing from you.Job Type:Full-time Pay:$30.00 - $40.00 per hour Expected hours:20 - 30 per week Work Location:In person.
