Job SummaryWe are seeking a highly organized and professional Administrative Assistant to join our team.This role is vital in supporting daily office operations, managing correspondence, and ensuring efficient workflow across departments.The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management or clerical support.Bilingual proficiency is a plus, as well as familiarity with medical or dental reception responsibilities.This position offers an opportunity to contribute to a dynamic work environment while honing administrative expertise.Duties Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy Perform data entry, filing, and document proofreading to ensure accuracy and organization Utilize Microsoft Office Suite and Google Workspace for report preparation, correspondence, and scheduling Coordinate calendar management and appointment scheduling for staff and clients Handle customer service inquiries via phone, email, or in person, providing exceptional support and support documentation as needed Assist with bookkeeping tasks using QuickBooks or similar software Support office management tasks such as supply inventory, mail distribution, and maintaining office cleanliness Provide personal assistant services including calendar management and travel arrangements when required Maintain confidentiality of sensitive information and adhere to company policies Requirements Proven experience in an office environment with clerical or administrative responsibilities Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills Excellent organizational skills with the ability to prioritize tasks effectively Demonstrated customer service skills with professional phone etiquette and communication abilities Experience with multi-line phone systems and front desk operations preferred Bilingual abilities are highly desirable to assist diverse clientele Knowledge of QuickBooks, bookkeeping, or medical/dental receptionist experience is a plus Ability to handle proofreading tasks accurately and efficiently Strong time management skills to meet deadlines in a fast-paced setting Previous experience in office management or personal assistant roles is advantageous This position is integral to maintaining smooth office operations and delivering outstanding support to clients and staff alike.We seek a dedicated professional eager to contribute their skills within a collaborative environment.Pay:$30.00 - $35.00 per hour Benefits:401(k) Dental insurance Flexible schedule Health insurance Paid time off Vision insurance Work Location:In person.
