Job Description
Executive Administrative Assistant to the Owner Company Overview We are a dynamic portfolio of companies owned and operated by a visionary entrepreneur, spanning diverse industries including marina operations, RV parks, construction, distillery production, senior living facility, concrete manufacturing, and additional ventures. Our headquarters are based in Chattanooga, Tennessee, where we drive innovation, growth, and operational excellence across these multifaceted entities. We seek individuals who thrive in fast-paced, high-stakes environments and are eager to contribute to building and scaling successful businesses.Job Summary As the Executive Administrative Assistant, you will serve as the right-hand support to the owner, managing a wide array of administrative, operational, and strategic tasks across multiple corporations. This role demands an ambitious, resourceful problem-solver with top-notch organizational skills and extremely high-level problem-solving abilities. You will anticipate needs, streamline processes, and tackle complex challenges head-on, enabling the owner to focus on high-level decision-making and business expansion. This is not a standard administrative position--it's an opportunity for a proactive leader to make a tangible impact in a multi-industry empire.Key Responsibilities Executive Support:Provide comprehensive administrative assistance to the owner, including calendar management, travel coordination, meeting preparation, and confidential correspondence across all business entities (e.g., scheduling site visits to marinas or RV parks, coordinating with construction teams, or overseeing distillery compliance reviews).Problem-Solving and Resource Management:Identify and resolve operational bottlenecks independently, such as troubleshooting supply chain issues in concrete manufacturing, negotiating vendor contracts for senior living facilities, or optimizing workflows between interconnected businesses.Leverage resourcefulness to source solutions quickly and efficiently.Project Coordination:Oversee special projects spanning multiple industries, from launching new initiatives in the distillery sector to analyzing performance metrics for RV parks and marinas.Track progress, mitigate risks, and ensure timely delivery.Communication and Liaison:Act as the primary point of contact between the owner and internal teams, external partners, regulators, and stakeholders.Draft reports, presentations, and communications that reflect a deep understanding of diverse business operations.Research and Analysis:Conduct in-depth research on industry trends, competitive landscapes, and potential opportunities (e.g., regulatory changes in senior living or emerging technologies in construction).Provide actionable insights to support strategic decisions.Operational Efficiency:Implement systems and tools to enhance productivity, such as automating administrative processes or integrating data across entities to prevent silos.Ad Hoc Duties:Handle unexpected challenges with ambition and creativity, from crisis management in one business line to supporting growth strategies in another.Qualifications and Requirements Education:Bachelor's degree in Business Administration, Management, or a related field preferred; equivalent experience in a high-level administrative or executive support role will be considered.Experience:Minimum of 5years in administrative or executive assistance, ideally supporting C-level executives in multi-entity or diversified business environments.Experience in at least one of the following industries is a plus:hospitality (marina/RV parks), construction, manufacturing (concrete/distillery), or healthcare (senior living).Skills and Attributes:Ambitious and Driven:A self-starter with a growth mindset, eager to take on increasing responsibilities and contribute to business success.Resourceful Problem-Solver:Exceptional ability to think critically, adapt to ambiguity, and devise innovative solutions to complex, multi-faceted problems--e.g., resolving a regulatory hurdle in the distillery while managing a construction delay.Organizational Mastery:Top-notch time management, attention to detail, and multitasking skills in a high-pressure setting.Communication Excellence:Superior written and verbal skills, with the ability to convey complex information clearly and professionally.Technical Proficiency:Advanced knowledge of Microsoft Office Suite, Google Workspace, project management tools (e.g., Asana, Trello), and CRM/ERP systems.Familiarity with industry-specific software (e.g., construction management or inventory tracking) is advantageous.Discretion and Integrity:Ability to handle sensitive information with the utmost confidentiality and professionalism.Flexibility:Willingness to travel occasionally and work flexible hours to accommodate the demands of multiple businesses.Other:Must be authorized to work in the US.Proficiency in additional languages or certifications (e.g., PMP) is a bonus. What
