About The Role The Administrative Assistant plays a crucial role in ensuring the smooth and efficient operation of the office by providing comprehensive administrative support to management and staff. This position is responsible for managing calendars, coordinating meetings, and handling travel arrangements to optimize time and resources. The role requires maintaining accurate records and managing multi-line phone systems to facilitate effective communication within and outside the organization. The Administrative Assistant acts as a key point of contact, supporting various clerical tasks that contribute to the overall productivity and organization of the workplace. Ultimately, this position enables leadership and teams to focus on their core responsibilities by managing essential administrative functions with professionalism and attention to detail. Minimum Qualifications High school diploma or equivalent required; associate degree or higher preferred. Proven experience in general administrative support or office management roles. Proficiency in calendar management and scheduling software. Strong organizational skills with the ability to manage multiple tasks simultaneously. Excellent verbal and written communication skills. Preferred Qualifications Experience with travel booking platforms and itinerary management. Familiarity with multi-line phone systems and office communication tools. Knowledge of records management best practices and document control. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Prior experience supporting senior executives or management teams. Responsibilities Manage and maintain executive and team calendars, scheduling appointments and coordinating meetings to ensure optimal time management. Arrange domestic and international travel plans, including booking flights, accommodations, and transportation, while preparing detailed itineraries. Operate multi-line phone systems to handle incoming calls, direct inquiries, and take messages efficiently and courteously. Perform general clerical duties such as filing, data entry, document preparation, and records management to maintain organized office operations. Coordinate meeting logistics, including room reservations, equipment setup, and distribution of meeting materials to support productive sessions. Skills The required skills such as general administrative abilities and calendar management are essential for organizing daily schedules and ensuring meetings and appointments are efficiently planned. Maintaining calendars and arranging meetings require attention to detail and strong time management to prevent conflicts and maximize productivity.
