Job Description
Downtown International law firm seeking an Administrative Assistant for our San Antonio office.The ideal candidate will be responsible for assisting and supporting the Executive Administrator with day-to-day duties.This position will also be responsible for E-Billing following appropriate training.Candidate must be detail-oriented and possess the ability to work independently and as part of a team. Start Date:Immediate Duration:Full-time Position Pay Range:Based on Experience Work hours:8:30 a.m. 5:30 p.m., Monday - Friday Benefits:Personal time off, health, dental & vision plan, 401k plan. Required:3years of experience in executive administration duties Responsibilities include, but are not limited to:Maintain positive working relationships with CCN personnel, vendors and clients.Ability to maintain utmost confidentiality and discretion of firm and client related information.High-level administrative support to perform complex and advanced administrative duties for the firm's executives.Assist with day-to-day operations to assist firm to operate smoothly and efficiently.Maintain various weekly and monthly management reports.Assist with the preparation of meeting materials for various committee meetings and Partners' meetings.Assist with onboarding and offboarding firm personnel.Assist with maintaining HR personnel records and assist with benefits open enrollments.Assist with firm's mid-year Associate reviews as well as year-end firm-wide reviews.Assist with firm's annual renewals:professional liability coverage, commercial insurance, medical insurance, software renewals, contract renewals, 401k, etc.Assist with year-end meetings, 401K YE compliance reports, and other various year-end matters.Processing and submission of electronic billing invoices and follow up on all client e-billing software to confirm approved status and do weekly e-billing follow ups and resolve rejected invoices.Assist with maintaining client listings and other important data reports.Perform other duties and responsibilities as directed.Experience & skills required:Professional, cooperative and positive attitude.Strong analytical and critical thinking skills.Excellent verbal and written communication skills.Strong organizational and time management skills.Ability to ensure an elevated level of accuracy and attention to detail on all assignments.Outstanding customer service skills and a team player.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.Ledes file experience a plus.Working knowledge of some or all of the following billing software a plus:Juris, TyMetrix360, Serengeti, CounselLink, Acuity, SimpleLegal, ASCENT, OpenInvoice, Collaborati, Corridor, Collaboration.Bachelor's degree with concentration in business administration or equivalent experience in executive administration role.Pay:$20.00 - $27.00 per hour Expected hours:40.0 per week Benefits:401(k) Dental insurance Flexible spending account Health insurance Life insurance Paid time off Vision insurance Work Location:In person.
