Archdiocese of New York Youth Ministry, Yong Adult Ministry, and the University Apostolate Administrative Assistant Overview/Purpose:The Administrative Assistant for the Office of Youth Ministry, Young Adult Ministry & the University Apostolate supports the Director and Associate Director and is typically the first point of contact in the office for priests, lay leaders, and all those seeking information related to youth ministry, young adult ministry, the university apostolate, and related initiatives of the Archdiocese of New York.Reports to:Director for Youth Ministry, Young Adult Ministry & the University Apostolate Work Location:488 Madison Avenue, New York, NY 10022 Responsibilities:Provide administrative support to the director and associate director and assist with the daily operations of the office.Prepare polished written correspondence and presentations at the direction of the director or associate director, including agendas, presentations, and meeting minutes.Manage correspondence and communications at the direction of the director or associate director.Manage internal and external project deadlines and provide appropriate reminders.Maintain calendars and appointments by planning and scheduling meetings, conferences, and travel as needed.Ensure leadership is equipped with necessary materials and documents for meetings and provide post-meeting support.Assist with office events and programs as needed.Manage reimbursements, invoices, and expense documentation at the direction of the director or associate director.Coordinate Catholic scouting-related administrative responsibilities, including ordering medals for scout leaders, preparing and processing registrations for the annual Emblem Mass at Saint Patrick's Cathedral, and assisting with logistics for the annual Catholic Scouting Retreat.Support special projects and additional responsibilities as assigned.Education, Experience, and Skills:Bachelor's Degree.2years of experience in an administrative or similar professional role.Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint.) Excellent verbal and written communication skills.Experience supporting the financial operations of an office, including preparing invoices for events and vendors, processing reimbursements, and tracking expenditures.Ability to patiently and compassionately assist clergy, staff, and volunteers.Independent worker and strategic thinker capable of execution of tasks.Highly organized, detail-oriented, and able to multitask in a fast-paced environment.Proactive, resourceful, and adaptable.Ability to maintain confidentiality and represent the Archdiocese in a polished and professional manner.A passion for the Catholic Church and a strong understanding of Catholic faith and culture.Ability to attend occasional evening or weekend events as required.Ability to travel throughout the Archdiocese at various locations to assist with occasional meetings and events.Valid driver's license and reliable transportation.This position is considered full-time, non-exempt, and eligible for overtime.Pay:$28.00 - $30.00 per hour Benefits:Dental insurance Employee assistance program Flexible spending account Health insurance Life insurance Paid time off Parental leave Retirement plan Vision insurance Education:Bachelor's (Required) Ability to Commute:New York, NY 10022 (Required) Work Location:In person.
