Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly.Maintain organized filing systems, perform data entry, and ensure accurate record-keeping using tools like Microsoft Office, Google Workspace, and QuickBooks.Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings.Assist with clerical duties including proofreading documents, preparing reports, and managing correspondence.Handle customer support interactions with professionalism and courtesy, providing timely assistance via phone or email.Perform light bookkeeping tasks such as invoicing, tracking expenses, and maintaining financial records.Support personal assistant responsibilities when needed, including travel arrangements or special project coordination.Qualifications Proven experience in an office environment with strong clerical skills and organizational abilities.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with QuickBooks or similar accounting software.Excellent phone etiquette with experience managing multi-line phone systems.Bilingual skills are highly desirable to serve diverse client needs effectively.Demonstrated ability to handle data entry accurately while maintaining high attention to detail.Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced setting.Previous experience as a receptionist or administrative assistant in medical or dental offices is a plus.Knowledge of office management procedures and customer service best practices.Ability to proofread documents meticulously and support bookkeeping or basic accounting functions when required.Join us as an Administrative Assistant and become an essential part of our vibrant team!
