Nappanee Chamber of Commerce Administrative Assistant Job Description Summary:The successful candidate will possess the ability to perform day-to-day activities, sometimes under pressure with little to no supervision.He/she is often the first face to the public and members.They need to maintain a high degree of professionalism and confidentiality while performing all job duties and responsibilities.Qualifications:A high school diploma or equivalent is required, with a minimum of 3 years' office/customer service experience.Typing proficiency at a minimum of 40 wpm is a plus.Work Environment and Physical Demands:The Nappanee Area Chamber of Commerce office is a professional work environment housed in the Nappanee Heritage Center.The Administrative Assistant must have audio and visual acuity and ability to communicate verbally to perform the duties of this position.Mobility and dexterity are required to the degree necessary to perform the required duties.Other physical requirements include, but not limited to, talking, listening, walking, sitting, standing, reaching, grasping, and lifting.Lifting is considered light to moderate or up to 40 pounds at one time.These activities vary over time from moderate to frequent.Hours:32 hours as scheduled including regular hours in the Chamber office and possible extra hours during special events, committee meeting, weekend or evening events.Regular hours are 8:00am-4:00pm, Monday through Thursday, with a working lunch.Reports to:Executive Director (Board chair or Vice Chair will have monthly check-ins for the first 6-12 months to ensure a smooth transition) Skills and abilities:1.Must be able to multi-task, with a high level of accuracy 2.Display professionalism 3.Exhibit a patient, pleasant, friendly personality with good communication and interpersonal skills 4.Must be familiar with and use most standard office equipment 5.Able to prioritize daily tasks to support organizational goals 6.Working knowledge of Microsoft Office systems, QuickBooks, and desktop publishing software.The ability to learn new software systems is imperative Duties and Responsibilities:1.Assist and coordinate different events as needed (golf outing, new teacher luncheon, annual meeting, ribbon cuttings, etc.) 2.Maintain the office, including but not limited to, positive/professional image of the Chamber, office supplies, deliveries, etc.3.Assist in maintaining the Nappanee Heritage Center as needed (cleaning, sweeping or dusting) 4.Respond to inquiries made in-person, by phone, mail, fax or email in a friendly, professional, informative and timely manner.Asking questions for clarification or additional information as needed, including to the Executive Director.5.Aid and support to the Executive Director, Board of Directors and committees; including, but not limited to, communications, meeting set up, project planning, and taking minutes at meetings.6.Processing mail daily or bulk 7.Run errands and deliveries as needed 8.Provide timely and accurate billing, invoicing and payments using QuickBooks 9.Perform data entry including typing with accuracy.10.Maintain Chamber website, Facebook page, Instagram.Being the Chamber's presence on social media.11.Maintain consistent communication strategy to members including newsletters, flyer creation/distribution, announcements, and members promotional events as requested by the Executive Director and Chamber Board.12.Provide visitor services including greeting, brochure distribution/services, member promotion and knowledge of Nappanee and events 13.Apple Festival Support (this is all year, but heaviest July through mid-September) a.Input all funds and write checks b.Create flyers as needed c.Mailings to Core/Full committee d.Answer calls, forward detailed messages to appropriate committee members(s) e.Puts exhibitor and food vendor packets together f.Making copies of Parking Passes The duties listed above are intended only as illustrations of the various types of work that may be performed.The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment to the position.3/16/26 The Nappanee Area Chamber of Commerce is an Equal Opportunity Employer Pay:From $20.00 per hour Benefits:Paid time off Work Location:In person.
