Seeking a reliable and organized Administrative Assistant for a part-time role in a small, independent rehabilitation program. This individual will be a primary point of contact for the program, frequently communicating with current and prospective clients and their families, medical providers, and others in the community. The ideal candidate is a proactive problem-solver with excellent communication skills, proficiency with technology, and the ability to multitask effectively. Core Responsibilities Communication: Contact and communicate with referrals and educate on processes and policies. Answer and return calls to potential clients and others with inquiries about the program. Communicate with medical providers via phone and fax. Contact funding sources to verify billing information and obtain treatment authorizations. Scheduling & Coordination: Schedule appointments and help manage therapist schedules. Documentation & Correspondence: Draft emails, letters, and faxes. Mail and fax reports and other documents. Scan, copy, and file documents. Data Entry & Record-keeping: Accurately enter data into databases or spreadsheets and assist with organization of forms and records. As-Needed Projects: Support staff with ad-hoc projects such as updating brochures, website updates, social media, and other small business operation needs. Required Skills and Qualifications Experience: Proven experience (1–3+ years) as an Administrative Assistant, Office Assistant, or similar role. Tech Savvy: Strong proficiency in Microsoft Office 365. Willingness to learn electronic medical records software and other software needed for program operations. Communication Skills: Excellent written and verbal communication, with the ability to act as a professional point of contact. Organizational Skills: Exceptional time management skills with the ability to prioritize tasks and meet deadlines. Medical knowledge : Familiarity with medical terminology, HIPAA regulations, and basic knowledge of medical conditions or willingness to learn. Discretion: Ability to handle sensitive and confidential information with professionalism. Education: High school diploma or equivalent; Associate’s degree in business administration or related field is a plus.
