Longstanding boutique law firm located in the heart of Coolidge Corner in Brookline, MA seeking a part-time, in-office experienced administrative assistant to support a busy attorney in an estate planning, elder law, and probate practice. This role is highly detail-oriented and client focused, serving as a primary point of contact for clients, visitors and callers. The ideal candidate is organized, reliable, self-motivated and able to work independently while handling confidential information with professionalism, discretion and compassion. Preferred candidates should have minimum of 1-3 years' experience providing clerical and administrative support. While this role supports a single attorney, the office is a shared space that is a friendly, and collaborative environment where teamwork is valued, personalities shine, and a good sense of humor is always appreciated. Firm has major focus on serving LGBTQ community and elders—successful applicant must have interest in serving these communities. Compensation to be determined by experience. Commitment is approximately 20 hours per week; which days and hours per week worked to meet 20 hours is negotiable. Requirements include: Answer and accurately route phone calls Handle new client intakes and gather required information Coordinate document signings in accordance with the attorney and witnesses’ calendars Greet visitors courteously and professionally Schedule both virtual and in-person appointments Sort, scan and process incoming mail Prepare documents for the attorney and clients Set up and maintain accurate electronic files Scan, label, log, and file signed client documents Monitor stock of office supplies as needed Display flexibility in performing additional duties as assigned: responsibilities may change or evolve based on firm needs. Essential Skills and Abilities: Strong attention to detail with excellent organizational and administrative skills Effective time management skills including the ability to multitask Excellent written and verbal communication skills Ability to maintain confidentiality Be organized, reliable, self-motivated, courteous, patient and compassionate Good visual acuity for reviewing, scanning and proofreading documents Must have good command of the English language, including accurate spelling and proofreading abilities Strong initiative required; ability to work independently with minimal direct supervision The ability to understand and follow oral and written directions Computer skills including proficiency in Microsoft Office, Outlook, and Zoom Qualifications: 1-3 years minimum of administrative experience Bachelor’s degree or equivalent administrative experience Microsoft office: 1 year (preferred) Customer service: 1 year (preferred) Must be able to commute to Coolidge Corner office– this is not a remote position. Reliable transportation or access to public transportation. Physical Requirements: Prolonged periods sitting at a desk and working on a computer Must be able to push/lift/carry up to 30 pounds at times Please provide cover letter and resume.
