Job SummaryWe are seeking a dedicated and detail-oriented Administrative Assistant to join our team.The ideal candidate will play a crucial role in supporting daily office operations, ensuring efficient workflow, and providing exceptional service to both internal and external stakeholders.This position requires strong organizational skills, time management abilities, and proficiency in various administrative tasks.Responsibilities Greet and maintains a friendly, respectful, helpful attitude towards residents, their families, staff, volunteers, and visitors.Manage and maintain office supplies, ensuring that all necessary materials are readily available.Manage facility phone system, employment advertising, vendor contacts,.Perform data entry tasks with accuracy and attention to detail.Manage and Maintain payroll, check requests, A/P invoices, HR policies, employee handbook, physical and digital filing systems for the facility, including but not limited to OSHA recordkeeping, Equal Employment Opportunity program (Affirmative Action).Process all HR requests such as FMLA, worker's compensation, etc.Assist facility Administrator and Management company with any union related tasks.Processes background studies and fingerprinting (if needed) on new hires and volunteers.Assist managers and employees with employee incentive program.Organize files and maintain an efficient filing system for easy retrieval of information.Familiarity with or similar MatrixCare (Electronic Health Record) software is a plus.Manages Chart of Accounts:resident trust funds, petty cash and general fund accounts, and month end cash receipts and records.Communicate effectively with team members and clients, demonstrating strong interpersonal skills.Support the organization of meetings, by attending and participating, including preparing agendas and taking minutes for Safety Committee/Safe Patient Handling Committee, Quality Assurance, daily IDT (Interdisciplinary Team), and in-services as directed.Qualifications High School Diploma or equivalent required; Associate degree a plus Knowledge and experience as an administrative role within long-term care setting is highly desirable.Knowledge of Federal and State Guidelines and regulations as they pertain to long-term care or the willingness to obtain training in these areas.Knowledge of office management systems and procedures.Notary Public a plus.Strong organizational skills with the ability to prioritize multiple tasks effectively.Proficient in data entry with a keen eye for detail to ensure accuracy.Self-driven, detail-oriented, and problem-solving skills.Excellent time management skills to meet deadlines and manage workload efficiently.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office-related software.Join our team as an Administrative Assistant where your contributions will be valued, and your professional growth is supported!
