JOB Job SummaryThe Administrative Assistant performs a variety of clerical, purchasing, data entry, and data collection tasks to enhance the organization's efficiency and viability. Job Responsibilities Greets and directs visitors and clients.Answers multi-line phone and transfers calls, screening when necessary.Familiarity with city, county, and state jurisdictions.Maintains filing systems as directed.Steps in to perform word processing and database-related clerical tasks.Scanning and filing all supporting documents.Order/Track Supplies.Submit requisitions while following proper purchasing procedures.Purchase Order recordkeeping and tracking.Reconciling purchase orders and invoices.Retrieves information as requested from contracts, records, email, minutes, and other related documents.Assist with a variety of budget-related tasks.Performs tasks for the Director and Deputy Director as needed.Performs backup duties for the Executive Assistant.Responds to and resolves administrative inquiries and questions.Perform all other related duties as assigned.Knowledge, Skills and Abilities SkillsExcellent interpersonal and customer service skills.Excellent verbal and written communication skills.Proficient in Microsoft Word and Excel skills.Proficient in Microsoft PowerPoint and other presentation-style platforms.Excellent organizational skills and attention to detail.Basic understanding of clerical procedures and systems, such as recordkeeping and filing.Ability to work independently.Ability to collaborate with staff from various departments.Education High School Diploma requiredAssociates Degree preferred. Experience Two (2) year of professional administrative experience required. Physical RequirementsProlonged periods of sitting at a desk and working on a computer.Must be able to lift up to 15 pounds at times.
