Purisys is a trusted CDMO partner for custom pharmaceutical API and other chemical synthesis projects with capabilities unique in the industry.Built over a 40-year history, our expertise allows us to support a diverse range of custom API development projects from proof of concept, bench chemistry to full-scale product commercialization - with particular strengths in full-service clinical Phase I/II and small volume, orphan drug commercial API GMP synthesis.Our broad ranging, and often specialized, chemistry capabilities make us the partner of choice for technically intensive and complex projects.Purisys also has an industry-leading track record in compliance with US FDA cGMPs and other global regulatory bodies.For more information on the company please visit https://purisys.com GENERAL PURPOSE OF JOB Provides a wide range of administrative support to the Purisys Management Team and others as needed including external organizations and customers.General site responsibilities including involvement in employee events impacting company culture and employee morale.Takes initiative to follow up on relevant issues and informs manager(s) of status.ESSENTIAL DUTIES AND RESPONSIBILITIES Provides administrative support in areas of preparing correspondence, generating reports, expense reports, confidential correspondence, file management, travel arrangements, scheduling interviews, office supply ordering, office machine maintenance, processes invoices and maintains financial and expense records, administrative tasks in support of managing multiple Outlook calendars for senior level staff, etc. Handles confidential information discretely and professionally, using good judgment. Assists with staff communication, i.e., schedules meetings, town halls, communicates information, new hire orientation, follows up on requested information, etc. Completes administrative tasks for on-boarding and off-boarding of staff. Creates purchase orders/requisitions in SAP as needed. Coordinates, prepares, and edits reports and presentations.Prepares memorandums.Organizes files, assembles relevant data, compiles statistics or information as directed. Completes administrative tasks associated with the Zero Incidence Culture (ZIC) program such as printing monthly logbooks and scheduling hand-off meetings Maintains calendar(s) as needed in support of managing multiple Outlook calendars for senior level staff, conference rooms, etc. Provides relevant staff with reminders of upcoming events and projected related deadlines. With management support, organizes visits, audits and events for the site.Coordinates employee luncheons and meetings and meals for visitors. Greets vendors and visitors. Responsible for maintaining office environment.Must be able to meet the public, making good first impressions.Must be effective in dealing with employees in a congenial manner. Responsible for maintaining site conference rooms, copy rooms, lunchroom areas, office environment, etc. Liaison with facility management and vendors by arranging necessary repairs/reporting issues such as cleaning services, HVAC, lights, 24/7 access to building, etc. Manages external supplies such as printing services, Canteen Vending, Staples, etc.Manages office supply inventory levels, processed invoices and maintains financial and expense records for such. Provides support for candidate interview scheduling, travel and logistics, reimbursing candidate travel Responsible for life event acknowledgement:birthday celebration list, birth announcement, flowers, etc. Employee uniform management Executes special projects as requested. Planning and organizing of employee events on-site and off-site Other duties may be assigned.ADDITIONAL POSITION REQUIREMENTS Carries out duties in compliance with all state and federal regulations and guidelines including FDA, EPA, OSHA and DEA.Complies with all company and site policies and procedures. Assumes responsibility for the environmental effects of work performed and for the identification and recording of environmental problems as they arise. Is available for other duties as assigned.SUPERVISORY RESPONSIBILITIES None EDUCATION and/or EXPERIENCE High school diploma or general education degree and three to five years related experience and/or training; or equivalent combination of education and experience.Additional education (technical, trade or college) or certification highly preferred.LANGUAGE SKILLS Read, analyze, and interpret general business periodi
