Swasey Elementary School Administrative Assistant-Full Year position Description Swasey Central School, Brentwood, NH's K-5 elementary school, is looking for an individual to join our administrative assistant team, responsible for a variety of needs, supporting students, families and staff.Under the direct supervision of the principal, this candidate can provide clerical, secretarial and administrative assistance to school administration at a school site and supporting the broad array of services provided to students, parents, and school staff.Essential Functions Manage the procurement process for the school, including preparing and processing purchase orders and coordinating the ordering of classroom and office supplies.Coordinate and register teaching staff for professional development opportunities, conferences, and continuing education coursework.Maintain and oversee the Student Activity Fund, including collecting and depositing funds, maintaining accurate financial records, and completing monthly account reconciliations.Ensure timely and accurate submission of hourly staff timesheets to the payroll department in compliance with district procedures and deadlines.Collaborate with the Accounts Payable Department to verify and process invoices, ensuring prompt and accurate payment of school-related expenses.Monitor financial transactions related to student activities and maintain organized documentation to support fiscal accountability.Manage scheduling and coordinate meetings for the school principal, including maintaining calendars and preparing necessary materials.Provide administrative and operational support to school staff, students, and parents, serving as a point of contact within the main office.Maintain a professional and welcoming front office environment while assisting with inquiries, communications, and daily school operations.Prepares, copies and distributes notices, memoranda or other correspondence for the purpose of informing school employees regarding activities, events or other work-related matters.Assists in maintaining documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance Answers telephone calls, and provide information and assistance to callers.Responds to inquiries from students, parents and employees, providing information, facilitating communication among parties and/or providing direction.Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the school.Note:The above description is illustrative of tasks and responsibilities.It is not meant to be all inclusive of every task or responsibility.Knowledge, Skills and Abilities Ability to describe problems and work orally or in writing to supervisor as required.Ability to establish and maintain cooperative working relationships with others contacted in the course of work.Ability to understand, apply and use personal computers and software applications Ability to maintain confidentiality of information regarding students, employees and others.Organizational and time management skills.Qualification Profile Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying.Typical qualifications would be equivalent to:High school diploma or equivalent Successful experience with school/office management preferred.Proficient in Google Drive/Docs, Word, Excel, ALMA, Pick Up Patrol Application Procedure Please apply online Applications will be considered only when a cover letter, resume, and letters of recommendation have been attached to your online application.Posted vacancies in SAU 16 have been approved by the School Board.It is the policy of SAU 16 not to discriminate on the basis of race, sex, gender identity, religion, national origin, color, homelessness, sexual orientation, age, or disability in its education programs, services, activities or employment practices.FLSA Status:Non-exempt.
