This vital role offers an exciting opportunity to support daily office operations, enhance organizational efficiency, and provide exceptional customer service.The ideal candidate will be energetic, detail-oriented, and possess a strong ability to manage multiple tasks with professionalism and enthusiasm.Your contributions will help create a smooth-running office environment where teamwork and productivity thrive.This paid position is perfect for someone eager to develop their administrative skills while making a meaningful impact in a fast-paced setting.Duties Manage front desk operations, greeting visitors and directing them appropriately with friendly professionalism Answer multi-line phone systems promptly, providing excellent customer support and routing calls efficiently Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and document management Coordinate calendar management and appointment scheduling for staff or executives with attention to detail Perform basic bookkeeping tasks using QuickBooks or similar accounting software to support office financial processes Maintain office supplies inventory, order necessary items, and ensure the workspace remains organized and welcoming Qualifications Proven office management or administrative experience in a professional environment Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently Exceptional phone etiquette skills with experience handling multi-line phone systems and customer inquiries Bilingual abilities are highly desirable to serve diverse client needs effectively Previous clerical experience including data entry, filing, proofreading, and document management preferred Knowledge of office equipment such as printers, scanners, and fax machines is advantageous Personal assistant or medical/dental receptionist experience is a plus but not required Join us in this energetic role where your organizational talents will shine!
