Position Overview We are seeking a highly organized and proactive Office Administrative Assistant to support our preconstruction, project management, and general office operations.This role is critical in keeping projects running smoothly by managing documentation, coordinating logistics, and providing administrative support across multiple teams.Key Responsibilities Preconstruction Support Download and organize project documents into company systems (e.g., Dropbox) Maintain and update bid files, including addendums, memos, and revisions Manage and track bid calendars to ensure deadlines are met Set up and organize projects in Fieldwire for estimating and planning Maintain accurate and up-to-date preconstruction documentation Project Management Support Assist with job setup and project initialization Enter and maintain project budgets and related data Set up and manage projects in Fieldwire Process work authorizations (WAs) and purchase orders (Plexxis) Coordinate lodging, travel, and reservations for project teams Perform specialized data entry (e.g., schedule breakdowns, budget comparisons) to support project decision-making Coordinate collection and shipment of project samples Administrative & Office Support Scan, file, and manage digital and physical documents Coordinate internal paperwork flow between departments Set up time clocks and assist with jobsite administrative needs Create and distribute keys & paperwork to field teams Assist with event planning (meetings, trainings, lunches, CE events) Coordinate office-related logistics, including travel and reservations Support operations related to office location(s) Assist with fleet, vehicle, trailer, and equipment tracking Capture and organize jobsite photos for marketing/website use Qualifications Previous experience in an administrative, construction, or project support role preferred Strong organizational skills with attention to detail Ability to manage multiple tasks and deadlines in a fast-paced environment Proficiency with Microsoft Office and file management systems Experience with construction software (e.g., Fieldwire, Plexxis) is a plus Strong communication and coordination skills Bilingual preferred Work Environment Office-based with regular coordination with field teams and project managers Fast-paced, team-oriented environment Pay:$22.00 - $32.00 per hour Benefits:401(k) Dental insurance Health insurance Paid time off Work Location:In person.
