Job Description Job Title:Administrative Assistant Department:Mental Health Reports To:Director of Mental Health and Quality Assurance Specialist FLSA Status:Non-exempt Reviewed Date:02/07/2026 ____________________________________________________________________________ SUMMARY Under general supervision of the Director of Mental Health and Quality Assurance Specialist assists in a variety of office duties ____________________________________________________________________________ ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:Responsible for initial screening and scheduling of clients utilizing Code Metro and Tebra Electronic Health Record (EHR) for the Mental Health department Inputs all relevant client information in Code Metro and Tebra EHR Runs daily schedules for Mental health Inputs authorization from Medi-Cal carriers Verifies daily client eligibility monthly Keeps client appointments on schedule by notifying therapist of client's arrival; reviewing service delivery compared to schedule.Enters stats in Therapy Database Sends letters and Client Satisfaction Surveys to discharged clients Prepares client charts Maintains files/audits charts Sends/Receives correspondence Provides support to staff and manager Check-in clients Take payments, receipt payment, log into check log book for Sliding Scale clients only Answering mental health phone lines Determine purpose of calls Transfer calls to appropriate staff.Depending on urgency, do all call if determined.Refer callers to other resources when needed Determine which programs callers qualify for If it is a call to make an appointment, verify payment type.Determine fee by using sliding scale (when necessary) Provide Customer Service Computer Skills, Microsoft office Suite Policies and Procedures for Administrative Assistant procedure book This list is not intended to be all inclusive, and the position will have other duties as required or requested by management SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities.QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.The requirements listed below are representative of the knowledge, skill, and/or ability required.Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.EDUCATION and/or EXPERIENCE Requires High School or GED and a minimum 1-3 years related general office experience and/or training; or equivalent combination of education and experience.Must be computer literate and familiar with all general office equipment or capable of being trained.Customer Service skills a must; bi-lingual helpful.Ability to work evenings occasionally.LANGUAGE SKILLS Ability to read and comprehend simple instructions, short correspondence, and memos.Ability to write simple correspondence.Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide.REASONING ABILITY Ability to apply common sense understanding to carry out instructions furnished in written and/or oral form.Ability to deal with problems involving several concrete variables in standardized situations.PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.While performing the duties of this job, the employee is regularly required to sit and talk or hear.The employee frequently is required to use hands to finger, handle, or feel and reach with hands and arms.The employee is occasionally required to stand; walk; climb or balance; and possibly stoop, kneel or crouch.The employee must occasionally lift and/or move up to 25 pounds.Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.WORK ENVIRONMENT The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.Job Type:Full-time Pay:$19.00 - $21.00 per hour Benefits:401(k) matching Dental insurance Employee assistance program Health insurance Retirement plan Vision insurance Language:Spanish (Preferred) Ability to Commute:Riverside, CA 92501 (Required) Work Location:In person.
