Administrative Assistant The Vartazarian Law Firm is a fast-paced, client-focused legal practice dedicated to delivering exceptional service, strategic advocacy, and meaningful results for our clients. You will assist with administrative tasks, client communications, scheduling, document organization, and general office support. The Opportunity The Vartazarian Law Firm is looking for an Administrative Assistant who can serve as a key point of support for attorneys, staff, and clients. This is not just a basic clerical role. We are looking for someone who can take ownership of responsibilities, anticipate needs, and help keep matters moving efficiently. You will work closely with the legal and administrative team to support day-to-day operations, maintain organized systems, and provide excellent service to clients and visitors. The ideal candidate is professional, responsive, and capable of handling confidential information with care. Accountable For Managing calendars, meetings, appointments, and scheduling needs Answering and directing phone calls, emails, and client inquiries professionally Greeting clients, vendors, and visitors in a courteous and polished manner Maintaining and organizing physical and electronic files Assisting with document preparation, scanning, copying, mailing, and filing Coordinating internal communications and follow-ups Supporting attorneys and staff with administrative and operational tasks Tracking deadlines, reminders, and important case-related dates Helping maintain office supplies, records, and general office organization Handling confidential and sensitive information with discretion Assisting with intake, client onboarding, and general case administration as needed Proactively identifying issues and helping resolve them before they escalate Qualifications -2+ years of administrative, office, or legal support experience preferred -Prior law firm or professional services experience is a plus -Strong organizational and time-management skills -Excellent written and verbal communication skills -Professional demeanor and strong client service skills -High attention to detail and accuracy -Ability to manage multiple tasks and deadlines in a fast-paced environment -Comfortable using Microsoft Office, Google Workspace, Adobe, and case management systems -Ability to work independently while also collaborating with a team -Strong judgment, discretion, and reliability -Bilingual abilities are a plus but not required Compensation Competitive compensation based on experience.
