Job Description
JOB Position SummaryThe Administrative Clerk for the Jackson County Sheriff serves as the department's Freedom of Information Act Coordinator, fingerprints applicants for various purposes and operates the LEIN (Law Enforcement Information Network) to obtain information on subjects, vehicles, guns and other articles. The successful candidate must have the ability to sustain strict confidentiality as required and assist the public regarding departmental operations, programs and procedures.Position DescriptionRESPONSIBILITIES: Under the supervision of the Captain, provides information and assistance related to records. Prepares correspondence, maintains records and filing systems, prepares various reports and other documents and may assist in processing of accounts payable and receivable. Essential functions include but are not limited to: 1. Files private property traffic crash reports. Tracks, sorts and enters tickets.2. Processes forms for State gun purchase permits; runs background check to make determination of eligibility.3. Transcribes police reports that have been dictated by a deputy.4. May serve as receptionist and greet the public in person or by telephone, answering routine inquiries requiring general familiarity with departmental operations, programs and procedures.5. Enters information on personal protection orders, missing persons, stolen articles, OTA, OWI, warrants and other incidents to LEIN system.6. Performs a variety of clerical support tasks such as making copies, opening, sorting and distributing mail, sending faxes and related tasks.7. Locates and retrieves incident reports, crash reports, tickets and in car camera footage for deputies for court purposes.8. Fingerprints applicants for youth services employment, public school employment, records expungement, medical licenses, financial institutions, liquor licenses, daycare licenses, and other purposes.QUALIFICATIONS: Education: High school graduation or equivalent. Prefer some advanced coursework in word processing, spreadsheets and accounting.Experience: Two to three years’ experience in a secretarial/administrative office capacity. Prefer experience with word processing and spreadsheet programs and account keeping experience. Ability to type 40 WPM and/or ability to pass data entry test with a minimum of 5000 keystrokes.Other Requirements: Valid Michigan Drivers’ License. Maintain standing as a Notary Public. Ability to be deputized. Ability to be LEIN certified.
