Job Description
JOB Provides professional level staff assistance in the areas of research, analysis, reporting, and project coordination for the City Manager's Office. Provides support initiative that enhance service delivery, community engagement and policy development. This role will offer meaningful exposure to municipal government management and operations. The Administrative Intern will be supervised by an experienced professional staff member; the degree of supervision varies with the complexity of work assignments and the experience of the Intern. EXAMPLE OF DUTIES ESSENTIAL DUTIES & RESPONSIBILITIESThe intent of this job description is to provide a representative summary of the major duties and responsibilities performed by employees in this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.Research best practices, draft policy memos, compile data for special projects, and assist with benchmarking studies.Prepares supporting documents and reviews agenda packets to ensure accuracy and compliance.Assists with community engagement strategies related to constituent services and public information.Provides support to emerging priorities and assigned tasks by the assigned Department.Serves as a project coordinator as directed by the assigned Department.Conducts studies of administrative or operational problem areas.Assembles and analyzes statistical data.Analyzes procedures and recommends improvements.Designs new forms for records and reports.Assists supervisors in development of new programs or procedures.Performs other assigned duties that contribute to management objectives and at the same time contribute to the employee's career development.Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.Reviews, studies, and analyzes operational procedures as directed; prepares detailed and comprehensive reports of findings and recommendations.Coordinates and participates in special projects as directed by the Department; reviews policies and procedures as directed; interprets guidelines and disseminates information.Conducts research on an assigned subject; compiles administrative data and statistics.Assists supervisors in development of new programs or procedures.Participates in the production of departmental records, reports, billings, statistical reports, handbooks, list data bases and files, general and correspondence, etc.Receives, sorts, stamps, and distributes departmental mail; receives and distributes various documents and intra and inter-departmental forms.Performs related work as required.COMPETENCIES FOR SUCCESSFUL PERFORMANCE OF JOB DUTIESKnowledge of: Knowledge of principles, methods and practices of public administration, municipal finance, budgeting, accounting, and research techniques.Knowledge of principles and practices of office management to include computer software such as: Microsoft Office (Word, Excel, Access, and PowerPoint).Skills and Abilities: Ability to communicate orally with customers, clients, and the public in the English language.Ability to comprehend and make inferences from material written in the English language.Ability to produce written documents with clearly organized thoughts using proper sentence construction, punctuation, and grammar.Ability to work under pressure (i.e., handling significant problems and tasks which come up simultaneously and/or unexpectedly and approaching deadlines).Ability to operate keyboard devices such as calculators and PCs.Ability to establish priorities for own workload based upon factors such as immediate action, work objectives and/or schedules.Ability to exercise independent initiative and judgment.Ability to work cooperatively with other employees and the public.Ability to learn job-related material primarily through oral instruction and observation to effectively perform job duties.
