This position manages schedules, coordinates communications, prepares reports and documents, supports special projects, and serves as a liaison between the Deputy Director, staff, stakeholders, and the public. The role requires professionalism, confidentiality, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment. Duties include but are not limited to Serve as the Division's assistant and provide varied administrative support to the Deputy Director Serve as a liaison between the deputy director and staff, departments, or outside organizations Preparing correspondence related to hiring, promotions, special assignments and assists Deputy Director with all new hire-related documents/activities Preparing reports, correspondence, schedules, memos, presentations, and meeting minutes Preparing, sorting, prioritizing and distributing incoming and outgoing mail, and maintaining computer tracking system for electronic mail Scheduling appointments, meetings, conferences, training events and maintaining calendars, and faxing and copying documents Track budgets, invoices, and procurement requests Monitoring inventory and ordering supplies Process invoices, expense reports, purchase requests, and related documentation. Enter routine, technical, and specialized data into computer systems accurately and efficiently Interpret, explain, and gather information related to departmental programs, policies, and procedures File and maintain records in accordance with established retention and confidentiality guidelines Respond to inquiries and provide information to staff, clients, vendors, and the public. Other related duties as assigned City of Richmond Department of Social Services employees may be required to work during times of declared emergencies.*** Qualifications, Special Certifications And Licenses KNOWLEDGE, SKILLS, AND ABILITIES: Considerable knowledge and experience with software such as Microsoft Word, Excel, and Outlook, basic arithmetic calculations and mathematics, administrative and clerical procedures, and business principles and managing files and records, and designing forms. Demonstrated skills in entering data accurately; maintaining confidentiality; utilizing critical thinking and analytical skills to solve problems and demonstrating excellent customer service. Demonstrated ability to follow established procedures; work independently with little supervision; use sound judgement and decision-making; attention to detail and prioritize multiple responsibilities. Minimum Training And Experience High School Diploma or GED Three years of related clerical or office support experience. An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification LICENSING, CERTIFICATIONS, And/or OTHER SPECIAL REQUIREMENTS A Notary Public designation may be required for some assignments. Preferred Qualifications Experience supporting senior leadership or executive-level staff. Experience in government, nonprofit, education, or corporate environments. Knowledge of office management procedures and administrative systems. Data entry skills with attention to detail and accuracy Excellent customer service skills and ability to interact in a professional manner with all levels of agency personnel and a diverse public, including all those seeking social services Knowledge of alpha/numeric filing systems Ability to communicate effectively both verbally and in writing Ability to proof documen
