Job Description

This position is funded, in full or in part, through grant allocations or enrollment-based funding sources. Employment is guaranteed through the current school year (or the upcoming school year if the posting occurs during summer). Continuation of employment (or the position’s hourly workload) beyond this period is not assured and is contingent upon the availability of future funding. Position Summary: The job of the Registrar was established for the purpose/s of completing student enrollment and course scheduling activities; maintaining accurate student records; providing a variety of reports and reference materials; and ensuring compliance with district, state and federal guidelines. Essential Duties and Responsibilities: Communicates with a variety of persons and/or agencies (e.g. other schools, students, staff, parents, law enforcement, etc.) for the purpose of providing information on a variety of enrollment and graduation issues. Compiles student records (e.g. birth certificates, transfers, immunization, grades, class schedules, addresses, telephone numbers, etc.) for the purpose of meeting state, federal and/or district requirements. Evaluates situations (e.g. involving other staff, students, parents, the public, police, probation department, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution. Maintains a variety of student records and files (manual and computer) (e.g. report cards, grad checks, failure letters, sports eligibility, PM school, boundary exceptions, etc.) for the purpose of documenting and/or providing reliable information. Monitors assigned district activities and/or program components (e.g. permanent record tracking and storage, report card issuance, rosters, etc.) for the purpose of ensuring compliance with financial, legal and/or administrative requirements. Performs enrollment activities (e.g. interpreting transcripts, cum cards, folders, updating automated student information system, manual enrollment, etc.) for the purpose of ensuring compliance with financial, legal, state or federal requirements. Prepares a variety of reports and written materials (e.g. blue slips, grade changes, changes in schedules, graduation rate study report, etc.) for the purpose of meeting state, federal and/or district requirements. Processes a variety of documents and materials (e.g. new registrations, transcripts and transcript requests, grade books, withdrawals, etc.) for the purpose of disseminating information to appropriate parties. Reviews established guidelines in evaluating incoming student transcripts for the purpose of ensuring their conformance with district grading, curriculum and course credit systems. Attendance is an Essential Function of this Position: Physical presence at the worksite is an essential function of this position. The role requires in-person collaboration, direct interaction with team members, other staff, students, and/or guardians, and access to on-site equipment and resources. Other Duties and Responsibilities Assists other personnel as may be required (e.g. coaches, counselors, teachers, staff, etc.) for the purpose of supporting them in the completion of their work activities. Maintains inventory of office supplies for the purpose of ensuring the availability of items as needed. Job Requirements and Minimum Qualifications (Skills, Knowledge, and Abilities): Must be able to apply pertinent codes, policies, regulations and/or laws; operating standard office equipment; performing standard clerical procedures; preparing and maintaining accurate records; keyboarding; and utilizing pertinent software applications. Must have knowledge of accounting/bookkeeping principles; and concepts of grammar and punctuation.
