Title: Advanced Clerk Typist, Public Works FLSA Status: Non-Exempt Department: Public Works Onsite, Full-time JOB PURPOSE This position is responsible for performing routine administrative and clerical support duties, including data entry, records processing, and customer service, to assist staff and ensure efficient office operations under direct supervision. ESSENTIAL FUNCTIONS The following duties are normal for this position, but not to be construed as exclusive or all-inclusive. Other duties may be required as assigned. Performs routine office and clerical duties, including filing, data entry, and document preparation Process, maintain, and organize records, files, and documentation (paper and electronic) Provides administrative support to staff and management as needed Assists with customer service, including responding to inquiries, answering phones, directing calls, and greeting visitors Coordinates the review & processing of permits from start to finish. Handles incoming and outgoing correspondence, including mail and internal communications Prepares forms, reports, and other documents to support office operations Prepares department's payroll and requisitions, tracks department's expenditures Prepares packets, posts agendas and minutes for Boards and Commission meetings Operate standard office equipment such as computers, printers, telephones, and copiers Assist with scheduling and coordination of office activities Maintains knowledge of the budget in completing any administrative financial tasks Maintains confidentiality of sensitive information Follows established procedures and guidelines in completing assigned tasks Additional duties as assigned DESIRED KNOWLEDGE, SKILLS, AND ABILITIES: Ability to perform repetitive administrative and clerical tasks with accuracy and attention to detail Ability to follow established processes and procedures under direct supervision Skill in organizing and prioritizing work to meet deadlines Ability to communicate effectively with staff and the public Ability to maintain confidentiality and handle sensitive information appropriately Understanding of the permit process QUALIFICATIONS: High school diploma or equivalent with 0-3 years of experience Associate degree preferred OVERALL PHYSICAL STRENGTH DEMANDS: Constantly required to exchange accurate information Constantly operates a computer and other office machinery Constantly observes details at close range Frequently remains in a stationary position Occasionally moves about inside an office Occasionally moves office equipment weighing up to 25 pounds OVERALL WORK ENVIRONMENT: Constantly works in an indoor environment
