Job Description
SUPPORT SUMMARY: This role will be critical to the support of operations and maintenance support of a multi-million RSF life science portfolio in the Greater Boston area. This first-class operation starts with its supporting team members and provides a collaborative, positive, and technically challenging environment that champions professional growth. MAJOR FUNCTION: The Assistant Program Director provides vital support by combining administrational and operational oversight, staff development, safety management, and strategic planning to ensure compliant, efficient, and reliable facility operations. Job Responsibilities: Develop reporting for each site with the UG2 Senior Program Director client Facilities Director and Asset Management. Provide monthly reports to executive leadership. Develop, implement, and present KPIs using customized work order system reporting. Create and improve a shared drive/files to include live updates. Attend weekly meetings and maintain continuous discussions with the client for proper management of the account, facilities, and asset operations. Track and record all billable and non-billable time and expenses. Develop, implement, and standardize documents such as methods of procedure, reports, schedules, and standard operating procedures to ensure safety, compliance, optimal efficiency, and effective operations. SOP examples: Loss of power, fire alarm impairment, system operation and sequencing, preventative maintenance, CMMS, BMS, system training sign-offs, emergency response, winterization, hurricane preparation and response, on-call instructions, and other procedures determined by the client and UG2. MOP examples: Electrical, high-impact systems, and natural gas shutdowns. Determined by the client and UG2. Ensure Administrative responsibilities are kept up to date including continuous improvement of the work order system with the Chief Engineer, Program Director, and client Facilities Director. Work order management system tasks and schedules evaluation and improvement and addition, removal, and organization of attachments, equipment, and site information. Recruit, mentor, counsel, and train engineers, technicians, and supervisory staff, ensuring they are well-versed in industry best practices. Summary of counseling with six-month follow-up and annual evaluation for each employee. Tracking of employee goals and providing education, professional development, and resources. Mentor employees to strengthen administrative and technical abilities, including understanding the BMS, CMMS, building systems, drawings and schematics, preventative and corrective maintenance, SOP and MOP writing, proper emailing, and incident reporting. Recruit, hire, and onboard employees. Quickly respond to emergencies and ensure swift and decisive actions to correct issues, mitigate risks, protect personnel, and minimize operational disruptions. Take proactive measures to ensure proper response. Provide remote or on-site support as needed. Evaluate and improve on-call emergency notification processes. Ensure on-call engineers and technicians are prepared for on-call response. Act as a key point of contact for the client and UG2 facilities leadership and remain available at all times. Standardize procedures and practices across all UG2-managed client Greater Boston sites. SOP and MOP development, tracking, and accountability. Standardized formatting, methodology, and approval process. Act as a key resource in communicating changes that impact of client sites as a bridge between all Greater Boston sites and UG2 administrative staff. Provide license, certification, and training opportunities based on site needs and employee development, such as controls and automation, EPA, forklift, HVAC apprenticeship, project management, steam, and wastewater. Develop and implement solutions to issues impacting sites within the Greater Boston portfolio. Ensure compliance with safety requirements and industry standards. Develop and implement safety procedures for client sites to be approved by client and UG2 teams. Explore opportunities to improve safety education and practices, such as certifications, NFPA training, and improved safety training customization and reporting. Provide total quality management throughout the Greater Boston portfolio. Create a model of excellence for third party management of client sites. Establish customized work order system and KPI reporting tailored to each site. Ensure KPI Standards set by the client and UG2 leadership are adhered to.
