Audio Visual Production Coordinator WestWave AV is growing, and we're looking for a sharp, organized AV Production Coordinator to help us deliver exceptional events from first quote to final strike. This is a hands-on coordination role — you'll be the connective tissue between our clients, crew, equipment, and production team, making sure every job is staffed, prepped, and executed flawlessly. What You'll Do Assist in scoping and quoting AV jobs — reviewing event requirements and helping build accurate proposals Source and schedule crew for events, managing availability, assignments, and day-of logistics Coordinate equipment packages — pulling inventory, arranging rentals, and confirming gear is ready to go Handle logistics planning including load-in schedules, venue access, transport, and labor timelines Conduct on-site visits to assess venues and confirm technical requirements ahead of events Serve as a point of contact for clients on-site, working alongside the producer and owner to ensure a smooth experience Manage crew and vendor relationships with professionalism and clear communication Keep project details, schedules, and documentation organized and up to date What You Bring Experience in AV, live events, or production coordination — you understand how events are built Strong organizational skills and the ability to juggle multiple jobs at different stages simultaneously Comfortable reading AV riders, technical specs, and floor plans A people person — you can manage crew expectations and client relationships with equal confidence Proactive problem-solver who catches issues before they become problems on show day Familiarity with AV equipment and terminology is a must; hands-on technical experience is a plus Valid driver's license and ability to travel locally for site visits and events Why WestWave AV You'll be part of a tight-knit team producing events that range from high-stakes corporate productions to creative live experiences. You have three events running the same weekend and one crew member cancels day-of. How do you handle it? How do you track equipment across multiple jobs to make sure nothing gets double-booked or goes missing? Describe how you build a load-in schedule. What information do you need from the venue before you can do that? How do you communicate a technical limitation to a client — for example, the room won't support what they're asking for — without losing their confidence?
