Job Description
Job Summary - In person - 7:30am - 4:00pm We are a high-volume psychological practice dedicated to providing exceptional mental health care.If you are someone who stays calm under pressure, maintains a high level of discretion, and can pivot from reconciling accounts to helping a client with a smile, you'll fit right in.Bookkeeping & Financial (Approx.50-60%) Transactions:Record daily financial transactions (sales, purchases, expenses) in accounting software.Accounts:Manage Accounts Payable (AP) and Accounts Receivable (AR), including invoicing and collections.Reconciliation:Reconcile bank statements, credit cards, and cash accounts monthly QuickBooks Management:Maintain the Gold Standard for our books, ensuring all transactions are categorized correctly within QuickBooks Online Payroll:Process payroll, monitor timesheets, and assist with tax compliance.Reporting:Generate financial statements (profit and loss, balance sheets, income statements) for management.Administrative & Clinical Support (Approx.40-50%) Clerical Support:Manage emails, answer phones, greet visitors, and handle correspondence.Office Operations:Order office supplies, maintain office equipment, and manage inventory.Document Management:Organize, scan, and file digital/physical records.Scheduling:Coordinate meetings, appointments, and travel arrangements.Qualifications Technical Financial Qualifications Software Certification:Ideally, a QuickBooks Certified User or ProAdvisor status.Double-Entry Accounting:A solid grasp of debits vs.credits, accounts payable/receivable, and bank reconciliations.Data Migration:Experience syncing third-party apps (like Stripe, Square, or Square Health) into QuickBooks.Financial Reporting:The ability to generate and explain Profit & Loss (P&L) statements and Balance Sheets to the practice owner.Clinical & Administrative Qualifications HIPAA Compliance:A deep understanding of patient privacy laws.They must know how to handle financial records without exposing sensitive clinical data.Google Workspace Mastery (Required) Google Drive Architecture:Ability to create and maintain a highly organized, HIPAA-compliant folder structure.They should understand granular sharing permissions (who can view vs.edit) to protect sensitive files.Google Calendar Power User:Experience managing multiple clinician schedules, color-coding appointment types, and integrating Google Meet links for telehealth sessions.Google Sheets (Intermediate/Advanced):Beyond just data entry--they should be comfortable using basic formulas (SUM, VLOOKUP, etc.) and conditional formatting to track clinical hours or referral sources.Google Docs & Forms:Ability to create professional intake templates and use Google Forms for client feedback or internal office requests.Job Type:Full-time Pay:$24.00 - $27.00 per hour Expected hours:40 per week Benefits:401(k) 401(k) matching Paid time off Retirement plan Work Location:In person.
