Job Description
Lacewood Group Inc. is a general contracting company seeking a Bookkeeper & Administrative Assistant to support our Operations Manager, Project Manager, and Executive Secretary. This role combines day-to-day QuickBooks bookkeeping with office administration and paperwork support in a fast-paced, project-driven environment. Responsibilities Manage day-to-day bookkeeping in QuickBooks (billing, A/R, expense entry, and reconciliations). Enter and code vendor invoices, credit card charges, receipts, and expenses. Prepare and send customer invoices/progress billings according to project schedules. Track accounts receivable, record payments, and assist with collections follow-up. Assist with bank and credit card reconciliations. Maintain organized digital and paper filing systems for jobs, contracts, POs, and change orders. Assist the Project Manager with subcontracts, change orders, certificates of insurance, lien waivers, RFIs, and other job paperwork. Assist the Operations Manager with scheduling-related data entry, job setup, and basic tracking in spreadsheets or apps. Update and maintain data in company software/apps (project management, time tracking, estimating, etc.). Prepare simple reports from QuickBooks (A/R aging, expense summaries, job cost snapshots) as requested. Answer phones, route calls, and communicate professionally with clients, vendors, and subcontractors. Order office supplies and help keep the office clean, organized, and running smoothly. Perform other general administrative tasks as needed to support the field and office teams. Qualifications 2+ years of bookkeeping experience with hands-on QuickBooks (Desktop). Working knowledge of basic accounting (A/R, A/P, debits/credits, reconciliations). Strong data entry accuracy and attention to detail. Proficiency with Microsoft Excel and Word . Comfortable learning and using multiple computer and mobile apps. Strong organizational skills with the ability to juggle multiple tasks and deadlines. Clear, professional verbal and written communication. Ability to work independently, take initiative, and flag issues when something doesn’t look right. Preferred (Nice to Have) Experience in construction, trades, or other project-based businesses. Familiarity with progress billing, retainage, and job costing. Experience handling subcontractor paperwork (W-9s, COIs, lien waivers). Experience with project management or construction-related software. Pay: $23.00 - $26.00 per hour Work Location: In person
