Duties Manage accounts receivable and payable using QuickBooks, ensuring all financial transactions are accurately recorded and reconciled regularly Handle front desk responsibilities, greeting visitors and clients with professionalism and warmth Operate multi-line phone systems, directing calls efficiently and providing exceptional customer support Maintain organized filing systems for documents, invoices, and reports to ensure quick retrieval and compliance Support office management tasks such as calendar scheduling, appointment setting, and meeting coordination Assist with data entry, proofreading documents, and maintaining accurate records of financial and administrative information Provide excellent customer service by addressing inquiries promptly via phone or email, demonstrating strong phone etiquette and professionalism Requirements Proven experience with bookkeeping software such as QuickBooks or similar accounting tools Prior office or administrative experience, including clerical duties like filing, data entry, and document proofreading Strong computer skills including proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and general computer literacy Excellent organizational skills with the ability to multitask efficiently in a busy environment Bilingual abilities are highly desirable to serve diverse clients and team members effectively Experience in customer service roles such as dental or medical receptionist is a plus Strong time management skills with the ability to prioritize tasks effectively Personal assistant or office management experience is beneficial for supporting team needs seamlessly Join us to be part of a vibrant team where your skills make a real impact!
