Job Description
Our Business Office Assistant and Concierge will serve as our receptionist while also overseeing business functions of our senior living community at Parkway Assisted Living and Memory Care in Henderson. We are seeking a candidate with administrative experience, including onboarding new hires, payroll processing, and overseeing AR/AP, in addition to outstanding customer service skills for our main reception. In addition to these skills, an all-around team player who enjoys engaging with our residents, their families, and our community, will be given priority in our recruitment process. A candidate can expect a wage of $22.00-25.00/hour, with full-time benefits from PACS. Working hours are Monday-Friday, 8:00 AM-4:00 PM. Review of applicant submissions will begin immediately and continue until the position is filled. Essential Duties Provide general administrative and clerical support. Greet and welcome residents, family members, and other visitors with a friendly and positive demeanor. Answer telephone calls and take messages or forward calls. Check visitors in and direct or escort them to specific destinations. Agree not to disclose residents’ protected health information and promptly report suspected or known violations of such disclosure to the Executive Director. Maintain the confidentiality of all resident care information including protected health information. Report known or suspected incidents of unauthorized disclosure of such information. Obtain deposits for new move ins. Assist with managing resident trust, including printing, and distributing monthly statements. May attend stand-up meetings at the request of the Executive Director. Participate in billing and payment processes including preparing bank deposits, and handling and reconciling petty cash. Generates monthly billing statements, including AR/AP reports and duties. Undertake collection activity for bad debts. Inform other employees of visitors’ arrivals and cancellations. Maintain visitor sign- in log. Handle incoming and outgoing mail Schedule appointments and maintain meeting room bookings. Maintain and tidy the concierge area. Perform other duties as assigned. Education and/or Experience Must possess, as a minimum, a high school diploma or GED. Previous administrative assistant or office administration experience preferred. Experience in senior living helpful. Language Skills Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from managers and employees. Mathematical Skills Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations. Reasoning Ability Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Certificates, Licenses, Registrations To perform this job successfully, an individual must have basic knowledge of Microsoft Suite products, clerical functions and multi- line phone system.
