Presbyterian Church of Lowell Church Administrative Assistant / Receptionist (Church Secretary) Position Description Job Title:Church Administrative Assistant / Receptionist Reports To:Pastor and Session Schedule:Minimum of fifteen (15) hours per week Normal Office Hours:9:00 AM - 2:30 PM (includes 30-minute lunch) About the Position The Presbyterian Church of Lowell is entering a season of transition and revitalization.We are prayerfully seeking an organized, dependable, and ministry-minded individual to journey with us in this role.This position is more than administrative support, it is a partnership in strengthening communication, fostering congregational care, and helping position our church for faithful ministry in the years ahead.Job Summary Responsible for performing a wide variety of secretarial and clerical duties in connection with the operation of the Church.The Church Secretary serves as the first point of contact for members, visitors, and the community, supporting both the traditional administrative needs of the congregation and its digital communications.Professionalism, hospitality, discretion, and confidentiality are essential in this role.Benefits Paid Time Off (PTO):Accrues up to one (1) week, earned incrementally throughout the year according to months worked.PTO may be used for vacation, personal time, or illness, subject to approval and church policy.Seven (7) paid holidays annually to be determined Qualifications Required Proficiency in Microsoft Office (Word, Excel, Outlook, Publisher), Google (Doc, Calender) Ability to manage email communications and digital documents Familiarity with social media platforms for church communication Basic website editing and content management skills Experience with mass communication platforms (email distribution, automated phone systems, and group text messaging services) Strong written and verbal communication skills Excellent organizational abilities and attention to detail Ability to multitask and manage deadlines Commitment to maintaining strict confidentiality of parishioners, staff, and church matters (including digital records and contact databases) Preferred Experience in a church or nonprofit office setting Experience supporting church revitalization efforts through communication and outreach Familiarity with church management software and integrated communication systems Job Responsibilities Office & Hospitality Greet and assist visitors coming to the church office and provide referrals to other agencies as appropriate and needed.Maintain a clean and neat office environment for visitors and staff.Receive and handle all telephone calls and messages within 24 hours, forwarding to the appropriate person if needed.For urgent messages (crisis or emergency) notify the Pastor immediately, or if unable to reach the Pastor, contact the Chairperson of the Member Care Committee.Calendar & Event Coordination Maintain a schedule of all events on the Church calendar including weddings, funerals, meetings, and outside requests (both printed and digital calendar systems).Assist with bulletins, communication, opening buildings, and logistical support for funerals, weddings and events when necessary.Communications & Mailing (Print and Digital) Collect and prepare information and materials for the weekly church bulletin; review with the minister and/or necessary staff members; reproduce required printed copies.Prepare and distribute a digital version of the bulletin via email, social media and/or church website.Mail printed bulletins to shut-in members if requested and provide digital copies when appropriate.Collect information for newsletter and social media; reproduce printed copies; coordinate folding and distribution to church members (print labels, train volunteers, and mail).Prepare and distribute digital newsletters through email platforms.Maintain updated email distribution lists alongside physical mailing lists.Manage church-wide mass phone and text communication systems, including:Sending urgent notifications (weather cancellations, emergencies) Event reminders and ministry updates Coordinated outreach communications Ensure all contact databases (mailing, email, phone, and text) are current and accurate.Pick up and deliver mail on a daily basis; distribute to proper recipients.Manage incoming and outgoing electronic correspondence, ensuring timely responses and proper forwarding.Type and mail correspondence for the minister, professional staff, and church officers if requested.Format and send correspondence electronically when appropriate.Records & Office Management Maintain an organized filing system of church records in both physical and secure digital formats.Ensure confidential records are handled securely in print and electronic systems.Maintain and order needed office and janitorial supplies as needed.Facilities & Equipment Conduct a walk-through of Church property on a week
