Job Description
We are currently looking for a Full Time Clinical Support Specialist to join our Clinical Support Group team located at the 1300 Hoppe working M-F, 8 a.m. to 5 p.m. Summary: Serves as the first point of contact and administers the registration process and obtains all required patient information. Responsibilities: Obtains accurate patient information and updates patient charts as needed Advises patient of any documentation that will be needed at time of check in Collects and verifies third party Medicare, Medicaid and or Private insurance and obtains appropriate authorization signatures Schedules new patient, referral and follow-up appointments, handles all cancellations, and communicates appointment reminders Provide crisis intervention and referral information for incoming phone calls Interviews and determines eligibility of individuals seeking services according to Chickasaw Nation registration and eligibility guidelines Verifies Sooner Care eligibility for clients who do not have insurance, as applicable Determines which PMAS scheduling system to use based on eligibility and/or clinic location Maintains multiple PMAS calendars for providers with attention to detail Utilizes Onbase and Vista Imaging software to complete required scanning of documents and indexes appropriately Responds timely to and works collaboratively with other staff such as resource management, operational support, department of health, etc., to effectively resolve billing and registration issues and concerns Assists in the process of release of information requests to Health Information Management (CNMC EHR) and Operational Support (DFS EHR) Ensures timely reporting of key clinic statistics to line of support Compiles clinic information and data into a word processing or spreadsheet in adherence to program reporting standards Creates and manages patient charts Prints demographic forms and labels needed prior to clinical appointments while maintaining confidentiality of clients’ information per HIPAA guidelines Answers and directs all clinic phone calls, following all reasonable safeguards for ensuring confidentiality, determines purpose of callers and takes messages as necessary for clinic providers and staff Administers quality assurance surveys to ensure client satisfaction with the program Assists clinic management and as needed division psychologist with general clerical duties to include, but not limited to: mailings, faxing, copying, organizing, maintaining and distributing files and project data reports Provides coverage for other clinic support positions during breaks, lunch or absences as assigned Maintains office supplies, forms and equipment in levels sufficient for optimal office functions Assists in maintaining a friendly, clean, safe and neat work environment Supports and promotes a service environment for individuals in need of physical health care, behavioral health and/or co-occurring services that are recovery focused, welcoming and attentive to the needs of individuals who may have experienced trauma in their lives Provides first class customer service to both internal and external customers and responds to inquiries, compliments, and/or complaints with professionalism, courtesy, and efficiency Completes all training and development requirements and participates in continuing education opportunities Works in a collaborative and supportive manner to support the productivity and safety of the work area, team members and customers of all types Maintains a clean, organized work area and ensures a safe environment Maintains and promotes professionalism Punctual and consistent in meeting start time, work schedule, attendance and other assigned work time metrics Adheres to Chickasaw Nation dress code standards Maintains knowledge of and follows all rules, regulations, policies and guidelines for assigned area Performs all other duties as assigned Competencies: Essential Ability to communicate effectively (via email, on the phone, and etc. Ability to establish and maintain effective working relationships with those contacted in the course of work (e.g. Tribal officials, employees, and the public) Able to follow instructions, both written and oral Able to adhere to all scheduling and attendance requirements Ability to handle difficult customers and situations Honesty, truthfulness, reliability, accountability Able to read, understand, apply, and retain knowledge of Chickasaw Nation, departmental, divisional and all other rules, regulations, policies, procedures and guidelines
