Job Description
Schedule: Monday-Friday 9am-5pm. 40 hours/ week General Summary The Clothing Room Coordinator reports to the Director of Operations and keeps the Clothing Room running day to day. This is a hands-on operations coordinator who can be trained but requires reliability and basic logistics thinking. It is not a supervisory role but leads the flow of work by assigning tasks and giving direction to volunteers and other assigned helpers. The Coordinator works closely with Reception to schedule client appointments, greets and assists donors and community members, receives and sorts donations, and keeps the clothing floor areas stocked with seasonally appropriate clothing. The Coordinator also tracks what comes in and what goes out, keeps records up to date, and helps improve how we collect and share information across departments-including MissionTracker and VolunteerTracker – for tracking donations and volunteer placement. This position is highly visible and must represent the Mission's core values of Faith, Family, Community, Compassion, and Stewardship. Duties & Responsibilities Keeps the Clothing Room running day to day (opening/closing routines as assigned, cleanliness, organization, and a smooth flow of work) Greets donors and community members, receives donations, and ensures donations are handled safely and respectfully Sorts and organizes clothing and other items; keeps displays and stock areas filled based on season and current needs Tracks what comes in and what goes out (donations received, items distributed); submits monthly reporting to the Director Keeps documentation accurate and up to date, including timely data entry and/or reconciliations as assigned (e.g., MissionTracker and VolunteerTracker) Works with Reception to schedule and manage the calendar for client clothing appointments; provides warm, respectful customer service to all visitors With Director approval, helps identify and share opportunities for non-traditional staffing support (volunteers, interns, Vocational Program) with applicable department Provides shift direction to assigned support workers, and communicates performance concerns to appropriate point of contact In collaboration with the Volunteer Specialist, helps onboard and train new volunteers/support workers for Clothing Room tasks (quick orientation, task demonstrations, and clear expectations for workflow and safety) Creates and uses simple task checklists and refreshers to keep volunteer work consistent (sorting standards, where items go, and what to escalate) Maintains inventory of department supplies and reports needs to the Director bi-monthly (or as needed) Assembles emergency clothing packages and hygiene bags as needed Develops and maintains a partnership/contact list with the Director; keeps contact information current Participates in department meetings and training opportunities as required Skills & Qualifications Demonstrates experience and ability to interact sensitively and respectfully with others Serve as a positive role model to staff, volunteers, and resident-clients Comfortable working with basic metrics (counts, trends, and simple reports) and noticing patterns that can help leadership improve inventory tracking, volunteer coverage, and services Able to spot bottlenecks in customer flow (appointments, wait time, and distribution process) and communicate practical improvement ideas to the Director and other departments Able and willing to honor the leadership, chain of command, standards and ministry objectives of ODM Ability to work proactively on a team in a change environment Stays current on Open Door Mission services for referrals as needed Working Conditions/Physical Factors Requires working with a diverse population - continuously Environment may be odorous due to lack of personal hygiene and intoxication of guests - frequently Requires a sustained level of high energy, stamina, and the ability to move about all of the facilities on a regular and ongoing basis - frequently May be exposed to unsanitary conditions See, hear, smell and speak clearly Standing: Occasionally Climbing: Occasionally Lifting: Occasionally, up to 50lbs Education/Experience High school diploma or equivalent Demonstrates appropriate computer literacy and time management
