Job Description
Job Summary:We are seeking a Construction Project Administrator to support our airfield construction project in Lihu?e, Kaua?i.This is an on-site role supporting the Project Manager and Superintendent with certified payroll compliance tracking (subcontractor collection/submittal), document control, employee travel and housing logistics, fleet/DMV compliance, and general construction administration.The ideal candidate is highly organized, responsive, and comfortable coordinating across multiple subcontractors and field teams in a fast-paced construction environment.Key Duties & Responsibilities:Certified Payroll Compliance (Subcontractors) Collect weekly certified payroll submissions from subcontractors/vendors Track compliance status and follow up on missing/late/deficient submissions Review for completeness (signatures, classifications, dates, basic documentation) and compile packages Submit certified payroll compliance packages to the Owner/Agency and maintain records Document Control / Project Records Manage document control for project correspondence and records (digital and hard copy) Maintain logs/trackers as needed (submittals, RFIs, transmittals, meeting minutes, etc.) Distribute and file incoming/outgoing documents; ensure version control and retrieval readiness Employee Travel, Mobilization & Housing Coordinate employee flight arrangements and mobilization logistics Coordinate vehicle arrangements using company fleet (no rental cars) Manage employee housing (reservations/leases, check-in/out, extensions, issue resolution) Maintain travel/housing rosters and support schedule-driven staffing needs Fleet & DMV Compliance (Company Vehicles) Track and maintain fleet files:registrations, permits, inspections, and insurance cards Monitor renewal dates and coordinate updates to keep vehicles compliant and job-ready Ensure required fleet documentation is current and available for field use General Construction Administration Support PM/Superintendent with day-to-day administrative tasks, coordination, and reporting Assist with onboarding paperwork, badging/credentials (if required), and general office support Communicate professionally with the Owner, consultants, subcontractors, and internal teams Qualifications:2years experience in construction administration, project coordination, office administration, or similar role (public works/airfield/union/prevailing wage projects a plus) preferred Experience with document control and maintaining organized project records (digital hard copy) Experience tracking certified payroll compliance (collecting from subcontractors, monitoring completeness, and submitting packages) strongly preferred Strong proficiency with Microsoft Office (Outlook, Excel, Word); ability to maintain trackers/logs with accuracy Excellent organization, attention to detail, and follow-through with deadlines (weekly compliance cycles) Strong communication skills and comfort following up with subcontractors and project stakeholders professionally Ability to work on-site in Lihu?e, Kaua?i and support a fast-paced field environment Ability to pass a background check / badging requirements for airfield access (as required by the airport/Owner Job Type:Full-time Pay:$60,000.00 - $80,000.00 per year Benefits:401(k) 401(k) matching Dental insurance Health insurance Paid time off Work Location:In person.
