The position available today is: A Project Coordinator Administrator to help support the Sales Department Position Summary We are seeking a highly organized and motivated Construction Project Coordinator Administrator to support our Sales and Project Management teams in a fast-paced construction environment. This role is ideal for someone who thrives on keeping projects moving, enjoys working with people, and takes pride in delivering exceptional administrative support from bid stage through project closeout. Project Assistance: Assist Project Managers in pre-bid, on-going, and closing projects. Provide administrative support, as needed. Ensure that project deadlines are met in the areas of responsibility (bid docs, COI’s, DAS, billing, Warranty, Preliens). Ensure that customers’ needs are met, from an administrative standpoint, as the project evolves, responding to customer e-mails, and phone calls and billing questions in a timely manner. Create T&M recaps upon request. Assist with keeping project tracking logs up to-date (RFI, submittal, CCO logs). Create all project billings. Prepare/submit project billings with all required documentation at the direction of the PM. Maintain project subcontract/contracts, change orders, billings and certificates of insurance (COIs), in the shared digital Job folders (M drive Bid Support: Prepare Prequalification forms, when requested, and maintain status through varies portals, etc. Prepare bid documents for Estimators. Request and print plans and specifications, as needed for estimator. Order bid bonds, and notify bonding company of bid results. If awarded project, submit required post-bid documents in a timely manner, example: request bonds (performance, payment, excavation, and bid bond).
