Position Summary The Coordinator, National Sales Partner Operations plays a key role in supporting national sales operations, broker engagement, and cross-functional coordination efforts. This position serves as the operational front door for member companies and broker partners by managing centralized intake requests, coordinating meetings and communications, supporting operational workflows, and providing first-pass reporting analysis. The ideal candidate is highly organized, customer-service oriented, detail focused, and comfortable working in a fast-paced environment with multiple stakeholders. This role also requires curiosity and adaptability, with a willingness to embrace technology, process improvement, and AI-enabled tools to drive operational efficiency. Key ResponsibilitiesCentral Intake & Service Operations Manage the shared mailbox and Jira ticketing intake system, ensuring timely acknowledgment and routing of requests in accordance with established SLAs and restricted-access standards. Serve as the primary operational contact for member-company and broker inquiries. Classify and triage requests, escalating items requiring cross-functional collaboration when appropriate. Maintain accurate contact directories and support light automation efforts to improve data quality and efficiency. Provide consistent, professional customer service and status updates to stakeholders. External Broker Support & Meeting Operations Coordinate agendas, presentation materials, meeting logistics, and follow-up communications for national and regional broker meetings. Track broker requests, identify recurring themes, and communicate insights to leadership. Utilize approved messaging and talking points developed by leadership to support communications with external partners. Subcommittee Support Provide operational and administrative support to the National Sales Strategy Subcommittee (NSSS). Assist with agenda preparation, meeting scheduling, note taking, and action-item tracking. Ensure timely coordination of meeting materials and follow-up items. Operations & Tactical Support Perform first-pass analysis of annual partner reports and designated DDPA surveys, preparing concise summaries and insights for leadership review. Support annual operational cycles, including data gathering, quality assurance, and calculations related to the RFP-volume billback workflow. Assist with maintaining organized document repositories, calendars, schedules, and operational materials. Tools, Process & Continuous Improvement Utilize Jira and Agile/Scrum practices to support intake workflows and operational coordination. Explore and apply AI-enabled tools and methods to improve summarization, tagging, reporting, drafting templates, and knowledge management. Identify opportunities for process improvements that reduce cycle times, improve consistency, and enhance stakeholder experience. Qualifications Bachelor’s degree or equivalent combination of education and experience preferred. 2–4 years of experience in operations, project coordination, sales support, customer service, or a related field. Strong organizational skills with the ability to manage multiple priorities and deadlines. Excellent written and verbal communication skills. Experience coordinating meetings, preparing materials, and managing follow-up actions. Analytical mindset with comfort reviewing reports and summarizing insights. Proficiency with Microsoft Office Suite and collaboration tools; experience with Jira or ticketing systems preferred. Demonstrated curiosity and willingness to learn new technologies and AI-enabled tools. Strong customer-service orientation and consulting mindset, including structured problem solving and stakeholder responsiveness. Preferred Skills Experience working with brokers, member organizations, or external partners. Familiarity with Agile or Scrum methodologies.
