Reports To:CEO Department:Sales & Administration Type:Part Time / Flexible Location:Hybrid Weekly Minimum Hours:At least 5 hours a week needs to be dedicated to this role On Average we are looking for this role to grow and expand into 10-20 per week, so looking for someone who can commit to this.Hourly Pay $20- $25 an hour Depending on experience.Position Summary The Customer Service & Administrative Assistant plays a critical support role within the company, serving as the bridge between customers, wholesale accounts, dropship partners, and executive leadership.This role is responsible for managing customer communication, supporting revenue collection, assisting with wholesale order follow-up, and providing direct administrative support to the CEO.The ideal candidate is detail-oriented, proactive, organized, and comfortable working across multiple priorities in a growing brand environment.Core Responsibilities1.Customer Service & Accounts Support Communicate with retail and wholesale customers regarding order status, payments, and backorders Obtain and securely process credit card information for invoicing and billing Follow up with accounts that have outstanding balances Maintain accurate documentation of customer communications and payment status Support resolution of customer service inquiries in a timely and professional manner This is supporting all of the emails that come to the account This function directly supports cash flow and account health.2.Wholesale & Order Support Call on wholesale customers with open backorders to offer additional inventory and increase order value Assist in coordinating order updates and adjustments Support monthly sales tracking related to wholesale and dropship accounts Pull and reconcile monthly sales reports for designated partners (e.g., JoJo Mommy dropship account) (Avery wants Kortney to support sales reps commissions).Scan Blake / Mathew google sheets monthly.This role supports revenue optimization and account expansion.3.Administrative & Executive Support Provide day-to-day administrative support to the CEO Assist with vendor research (e.g., sourcing branded mailer vendors, packaging suppliers, etc.) Coordinate product packaging and shipments for lifestyle models and special projects Assist with billing-related documentation and organization Support special projects as assigned This role requires flexibility and a solutions-oriented mindset.4.Cross-Functional Collaboration Collaborate with Marketing for asset handoff when needed Assist in basic framework development for brand materials when requested (though creative ownership will sit with Marketing) Support internal organization and communication across departments Key Competencies Strong verbal communication skills (phone email professionalism) Comfortable discussing payments and balances with customers Detail-oriented and highly organized Proactive follow-up mindset Comfortable working in a fast-paced, evolving environment Ability to manage confidential billing information responsibly Hours must be turned in weekly Must check emails multiple times a day Performance Metrics (Future KPIs we would love to track) % of outstanding accounts followed up weekly Backorder conversion rate Billing turnaround time Customer response time Accuracy of monthly sales reporting Pay:$20.00 - $25.00 per hour Expected hours:10.0 - 15.0 per week Application Question(s):Are you able to commute to this role at least 2 times a week?
