Overview Shaffer's Irrigation is seeking a detail-oriented and highly organized Administrative & Customer Service Coordinator to support daily office operations and ensure a positive customer experience.This role is ideal for someone who enjoys structured administrative work, clear communication, and helping keep teams and schedules running smoothly.Key Responsibilities Customer Service & Administrative Support Maintain professional, responsive communication with current and prospective customers Follow up on submitted estimates by phone or email to provide information and answer questions Document customer interactions and maintain accurate customer records Process customer accounts and perform routine filing and data entry Draft routine communications to customers and vendors Scheduling & Coordination Schedule and dispatch field crews according to established timelines and customer requests Serve as a liaison between field staff and office personnel Participate in team meetings to support process improvements and operational efficiency Maintain organized calendars, correspondence, and administrative workflows Accounts Receivable & Payable Support Generate invoices and account statements Receive and process payments Verify, reconcile, and code invoices Assist with expense tracking and account reconciliations Research and resolve billing discrepancies General Office Support Assist with aspects of the hiring and onboarding process Support basic website and social media updates Help review current procedures and recommend administrative improvements Qualifications Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Comfort navigating internet-based systems and websites QuickBooks experience preferred Strong data entry and basic math skills Excellent written and verbal communication skills Friendly, professional customer service approach Strong organizational and time-management abilities Ability to multitask and adjust priorities in a time-sensitive environment What Success Looks Like Accurate, timely administrative support Professional and helpful customer interactions Well-coordinated crew schedules Clean and organized financial and customer records Reliable follow-through on tasks and communications Work Environment This is a fast-paced, team-oriented office environment supporting field operations.The ideal candidate is dependable, detail-focused, and comfortable balancing multiple administrative priorities.To Apply Please submit your resume and a brief cover letter to hr@shaffersirrigation.com explaining your interest in the role and relevant experience.Job Type:Full-time Pay:$15.00 - $16.00 per hour Expected hours:40 per week Benefits:On-the-job training Paid time off Work Location:In person.
