Job Description
Crestview Family Dental – Santa Clara, CA We are a growing boutique-style general dental practice in Santa Clara seeking an experienced, highly organized, patient-focused Dental Operations Coordinator to help lead the front office experience and support the continued growth of our practice. This is not a basic receptionist position. We are looking for someone who understands the full flow of a modern dental office — from patient communication and scheduling to insurance coordination, collections, treatment planning, and operational organization. Our office focuses on high-quality dentistry, relationship-based patient care, and creating an excellent patient experience rather than high-volume corporate-style dentistry. What We’re Looking For We are seeking someone who is: Reliable, mature, and proactive Comfortable taking ownership of the front office Detail-oriented and organized Warm and professional with patients Calm under pressure Comfortable discussing treatment and finances confidently Interested in growing with the practice long term Responsibilities Patient check-in and check-out Insurance verification and breakdowns Scheduling and schedule optimization Treatment coordination and financial discussions Claim submission and claim follow-up Accounts receivable and collections Posting insurance and patient payments Pre-authorizations Following up on unscheduled treatment Supporting a premium patient experience Helping maintain smooth day-to-day office operations Ideal Experience Strong candidates will have experience with: General dentistry workflows PPO insurance Reading EOBs and understanding deductibles/maxes Treatment sequencing and scheduling appropriately Dental software systems Insurance narratives and claim submission requirements Understanding how front office systems impact production and patient retention Experience with same-day dentistry/CEREC and fee-for-service style practices is a plus. Compensation: Compensation will depend on experience and ability to independently manage front office responsibilities. Additional compensation growth opportunities available for candidates with strong operational and treatment coordination experience. Potential benefits/stipend available for the right long-term candidate.
