Job Description
PURPOSE OF POSITION Deputy Clerk/Bailiff will provide administrative and clerical support to the Court, oversee the courtroom, and process case flow.This is an unclassified position.ESSENTIAL DUTIES AND RESPONSIBILITIES The following duties are normal for this position.These are not to be construed as exclusive or all-inclusive.Other duties may be required and assigned. Assist the public in a respectful, informative way without providing legal advice by answering questions regarding their cases via telephone and in person, or refer the public to the law library for legal representation information Receive, docket, file, and process pleadings in all case file types including, but not limited to Probate Estates, Guardianships, Trusts, Adoptions, Name Changes, Birth Corrections, Delayed Birth Registrations, Mental Illnesses, Minor Settlements, Wrongful Deaths, Civil cases and Marriage Licenses Make copies, certify documents and administer oaths for Marriage Licenses Schedule hearings and send summons and/or notice of hearings Prepare journal entries Accept payments, maintain cost screens, and monitor payment of Court costs Receive, open, and process mail on a daily basis Manage, maintain, Court calendars Prepare hearing files for Judge Brown Prepare files for appeal Bailiff hearings, monitor and set up recording program Perform other essential duties as required and/or instructed MARGINAL DUTIES AND RESPONSIBILITIES Run past due-due reports on Estates, Guardianships and Trusts and issue reminders, notices or status hearing entries Prepare and send marriage abstracts to Bureau of Vital Statistics MINIMAL TRAINING & EXPERIENCE REQUIRED TO PERFORM ESSENTIAL JOB DUTIES High school graduate with one to two years of experience or any equivalent combination of training and experience which provides equivalent skills, knowledge, and abilities.CRITICAL SKILLS Knowledge of the rules of grammar, punctuation, diction, and style Knowledge of Microsoft Office Knowledge of how to operate a personal computer Knowledge of legal terminology Ability to comprehend and recall a variety of informational documents, court orders, records, etc Ability to record and deliver information accurately, explain procedures and follow both written and oral instructions Ability to handle stressful situations in a fast-paced environment by analyzing and problem solving Ability to manage time effectively and prioritize work Ability to maintain confidentiality and a professional demeanor Ability to adapt to changes in procedure, new tasks, and new responsibilities Ability to type at least 40 words per minute PHYSICAL REQUIREMENTS Requires the physical ability to operate a variety of office machines which include, but are not limited to personal computers and related software, telephone (both landline and cell phone), time stamp, audio recorder system, photocopier/facsimile, typewriters, shredder, and printer Work involves walking, standing, lifting, and carrying a minimum of 20 lbs Ability to add, subtract, multiply and divide totals to determine percentages and decimals Requires the ability to perform in an office environment Job Type:Full-time Work Location:In person.
