Role Description We’re looking for a highly organized, detail-oriented Design Operations Coordinator to join our team in a part-time remote role supporting our growing wedding and event design operations. This role is ideal for someone who thrives in organization, communication, deadlines, and managing multiple moving pieces at once. We are looking for someone proactive, dependable, and exceptionally strong in follow-through — someone who naturally keeps projects moving, catches details others miss, and ensures nothing falls through the cracks. As our Design Operations Coordinator, you will support the design team behind the scenes by helping manage vendor communication, proposal updates, timelines, contracts, client updates, and project organization across multiple events simultaneously. This role is critical to keeping our design process organized, efficient, and executed smoothly from start to finish. This is a part-time, remote position (approximately 20 hours/week) with a flexible schedule between 7am–5pm EST, Monday through Friday. Responsibilities Pre-Wedding (Planning) Support Coordinate client-facing updates regarding design progress, vendor selections, approvals, and outstanding decisions Communicate directly with florists, rental companies, stationery designers, lighting vendors, and other event partners Track vendor proposals, revisions, pricing updates, and related documentation Manage proposal updates as design details evolve and ensure updates are communicated to the appropriate parties in a timely manner Review contracts and support the collection of finalized vendor agreements Maintain accurate records of bookings, rentals, vendor commitments, and project details Track deadlines, deliverables, outstanding items, and approvals across multiple events Maintain organized Google Drive systems and project documentation Support internal communication and coordination via Slack Help improve systems and operational efficiency as the company continues to grow Qualifications Is exceptionally organized and deadline-driven Has strong attention to detail and excellent follow-through Communicates professionally, warmly, and clearly Can manage multiple timelines and priorities simultaneously Is proactive and comfortable taking ownership of responsibilities Works well independently in a remote environment Has experience with Google Drive, Canva, and project coordination tools Is based in Massachusetts or New Hampshire preferred for occasional in-person team meetings This role is perfect for someone who thrives in a fast paced, high touch customer service environment while keeping complex projects running smoothly behind the scenes.
