Job#: 3030793 Job Description: Event Coordinator Location: Champaign, Illinois (Onsite) Employment Type: Contract Role Overview An opportunity is available for an Event Coordinator to lead the planning, execution, and coordination of internal and external events. This role will act as the primary owner of event logistics and execution, while providing light office support as needed. This position is suited for an individual who can work in a dynamic environment and manage events from concept through execution while collaborating across multiple teams. Key Responsibilities Plan, coordinate, and execute events including meetings, trainings, employee engagement activities, leadership visits, and customer-facing events. Manage end-to-end event logistics including scheduling, venue coordination, catering, attendee tracking, on-site support, and post-event follow-up. Partner with internal teams to understand event objectives and ensure seamless execution. Manage event-related vendors and suppliers; support contract coordination and documentation. Maintain records of event participation, costs, and schedules; support budget tracking and invoice processing. Identify opportunities to improve event processes and execution. Provide limited front-office and administrative support, including guest coordination and basic office needs. Assist with invoice coding, vendor documentation, and internal systems as they relate to event activity. Required Qualifications Experience: 2+ years of experience in event coordination, administrative support, or a related role, with an emphasis on event planning and execution. Technical Skills: Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, SharePoint). General Skills: Organizational skills with the ability to manage multiple events and priorities. Attention to detail, follow-through, and the ability to work under deadlines. Communication and stakeholder coordination skills. Ability to work independently. Preferred Qualifications Experience working with ERP systems (SAP preferred). Exposure to budget tracking, invoice processing, or vendor management. Experience supporting multi-site or cross-functional teams. An Associate’s or Bachelor’s degree in Business, Communications, Hospitality, or a related field is considered a plus.
