Position Overview The Cultural Programming Team curates and produces 80+ unique cultural experiences per calendar year and manages event production logistics for Faena Rose. At the heart of the operation, this position is the nexus between grand visions and their exquisite execution. REPORTING STRUCTURE & KEY PARTNERSHIPS Reports to: Director of Cultural Event ProductionDirect reports: N/AKey collaborators: Event Production Manager (second), Marketing Manager, Member Relations Team, Financial Controller Duties And Responsibilities Manage and execute all details of cultural event production (pre-event, during event, and post-event), including but not limited to: Booking event venue (in-house and off-site) and needsCoordinating with the in-house and third-party Special Events & Banquet Teams to execute cultural eventsSourcing and managing any third-party vendors required for cultural eventsCreate and route Banquet Event Orders (BEOs) for approvalRun-of-show, floorplans, and other logistics-related tasksBooking talent travel, accommodations, and car serviceCollecting event-related invoices as neededAssisting the Department Director with the overall department budgetPreparing and distributing post-event thank-you gifts for talentHelp on-site at events, including load-in and load-out Collaborate with the marketing manager to maintain the communications calendar and market events across varied platforms. These include a weekly communiqué, social media, and a video library on YouTube of past events. Skills & Abilities Strong project management and organizational skills with the ability to manage multiple events simultaneously (up to a dozen) happening at any given time. This is a high-volume, high-pressure operationExcellent written and verbal communication and ability to collaborate seamlessly with internal teams, vendors, and talentSkilled in building and managing production timelines, run-of-show documents, and floorplansFinancially literate; comfortable with budgets and reconciliationsCalm and solutions-oriented under pressure, ensuring smooth execution of events with audiences ranging from 20 to 400 peopleDeep curiosity for and engagement with art, culture, and current events that enhances programming and member experienceFamiliarity with the hospitality industrySelf-motivated, team player, reliable, professional, and hardworkingCreative and flexible with strong problem-solving skills Physical Requirements Ability to move safely on uneven terrain or in confined spacesAbility to see and respond to dangerous situationsAbility to remain in a stationary position for 8 hours or moreAbility to lift or carry up to 40 lbs SUCCESS METRICS On-time delivery: ≥95% of events hit key prep milestones and start on timeBudget discipline: ≥90% of events delivered within ±5% of the approved budgetClose-out speed: Wrap each event within 48 business hours (invoices, notes, thank-you gifts, production folders)Operational records & safety: 95% of events have complete documentation (run of show, floorplan, BEO); zero recordable safety incidents Qualifications 2 years of experience in the fields of event planning and production; luxury hotel event experience preferredProficient in Microsoft Office Suite, Adobe Creative Suite, Google Office Suite, CanvaFamiliarity with CRM Platforms, PeopleVine preferred.Familiarity with project management tools such as Trello, ClickUp, Monday.com, etc. YOUR LEGACY The Event Production Manager will be remembered as the steady hand behind the curtain, ensuring that every Faena Rose Miami Beach gathering runs seamlessly.
