Job SummaryWe are seeking a dynamic and highly organized Executive Administrative Assistant to join our team.In this vital role, you will provide comprehensive administrative support to senior executives, ensuring smooth daily operations and efficient management of their schedules.Your proactive approach, exceptional organizational skills, and ability to handle multiple tasks with precision will contribute significantly to our company's success.This position offers an exciting opportunity to be at the heart of our organization, supporting leadership and facilitating key projects with enthusiasm and professionalism.Duties Manage complex calendars, coordinate meetings, and schedule appointments using Microsoft Outlook Calendar and Google Workspace tools.Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy and attention to detail.Organize and facilitate company events, meetings, and conferences from planning stages through execution, including logistics and vendor coordination.Handle phone inquiries with professionalism using multi-line phone systems and maintain excellent phone etiquette.Perform data entry, filing, and record-keeping tasks utilizing office management software such as QuickBooks and Office applications.Support project coordination efforts by tracking deadlines, preparing agendas, and maintaining project documentation.Provide personal assistant support for executives including travel arrangements, expense reporting via DocuSign, and managing confidential information discreetly.Qualifications Proven experience in an executive administrative support or office management role with a strong background in clerical duties.Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems.Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.Strong typing skills combined with transcription and proofreading experience to produce polished documents.Knowledge of bookkeeping practices using QuickBooks or similar accounting software is preferred.Exceptional communication skills with a professional phone etiquette approach for customer service interactions.Experience coordinating events or projects from inception to completion is highly desirable.Ability to handle multiple responsibilities such as filing, front desk duties, office management tasks, and supporting executive needs seamlessly.Join us in this energetic role where your organizational expertise will drive efficiency across our leadership team!
